SUMMARY OF POSITION: eConsultation is a secure web-based service to improve access to medical specialists by primary care providers on behalf of their patients. This service has been in operation in the greater Ottawa region for over a decade and is now part of the broader Ontario eServices Program funded by the Ministry of Health. The local operations and platform are hosted at the Winchester District Memorial Hospital (WDMH), which is one of the delivery partners for the eServices Program in Ontario Health East.The Regional eConsultation Specialist will be primarily responsible for day-to-day operations and support of the eConsult service and its users, as well as planning and expansion/enhancement activities. This role encompasses key tasks including provisioning, training, documentation, regular tracking/reporting, problem analysis/resolution, and usage trend analysis. The incumbent will be working under the direction of the Ontario Health East eServices Lead in order to ensure objectives and tasks are aligned with the priorities established by the provincial program and the regional strategy, ultimately to maximize benefits for the residents of our region.Much of the work in this role is accomplished remotely, but it is based out of Winchester and would require the ability to be on-site occasionally.NATURE AND SCOPE OF WORK· Overall smooth operation of the eConsultation service· First point of contact for user queries and support requests· Monitor activities and support requests on a daily basis, ensuring prompt follow-up and resolution of issues to maintain high user satisfaction· Flexibility in working hours – the role will require support activities outside of standard business hours, including carrying a mobile device for completion of certain tasks· Usage analysis for trending, reporting, and identification of needs/gaps· Engagement with new users to facilitate accessibility of the service to all interested primary care providers and specialties – this includes registration and orientation steps and may at times involve travel to clinics· Case assignments and coordination of specialty schedules· Management of service data for utilization, feedback surveys, and billing· Participate in planning, implementation, and testing activities involved in further enhancing the service, including convergence with the provincial eConsult and eReferral service· Coordination of related project and working group meetings including scheduling, documenting outcomes, and tracking actions· Management of documentation related to the service and other support relating to presentations, paper submissions, funding proposals, etc.· Occasional travel may be required to participate in regional/provincial activities· Other related duties as assigned.QUALIFICATIONS Education: · Four (4) year University degree in a related discipline; OR· Other relevant training/experience with proven track recordExperience: · Minimum of two (2) years of experience in a role involving provision of excellent support to a large group of users/clients· Administration experience involving document management, project coordination, and generation of high-quality data analysis and reports· Experience in health service setting involving direct interaction with health professionals, particularly MDs, NPs, and support/admin staffLanguage: · Oral fluency, reading and writing in English· Working knowledge of French (highly desirable)Knowledge: · Very good knowledge and application of Microsoft Office Suite – (desirable) familiarity with advanced features in Excel & PowerPoint· Familiarity with different internet browser platforms· Conducting process mapping and/or requirements discovery sessions with end-users, preferably in a health care setting· Business analysis and documentation of needs· Microsoft Office SharePoint tools and features (highly desirable)· Familiarity with workflow development, particularly in conjunction with SharePoint and Nintex (desirable)· Procedures, planning and execution of software application User acceptanceSkills and Abilities: · Very good knowledge and application of Microsoft Office Suite – (desirable) familiarity with advanced features in Excel & PowerPoint· Familiarity with different internet browser platforms· Conducting process mapping and/or requirements discovery sessions with end-users, preferably in a health care setting· Business analysis and documentation of needs· (highly desirable) Microsoft Office SharePoint tools and features· (desirable) familiarity with workflow development, particularly in conjunction with Sharepoint and Nintex· Procedures, planning and execution of software application User acceptanceALIGNMENT WITH WDMH COMMITMENT STATEMENTThe duties and responsibilities of this position include alignment with the Winchester District Memorial Hospitals Commitment Statement.
