Job Description

Department: Operations Reports to: Director of Eventsamp; Experience Direct Reports: None Position Statusamp; Locations: Termed On-site, Vancouver Position Start Date: ASAP Salary: $4170 - $4600 monthlyAbout Invictus Games 2025: The Invictus Games is a biennial international adaptive sporting competition for wounded, injured, and sick service personnel and veterans from around the world. Through the power of sport, the Games inspire recovery, support rehabilitation, and generate a wider understanding and respect for those who have served their country.The Invictus Games Vancouver Whistler 2025 will take place from February 8 to 16, 2025, on the traditional territories of the Lil̓wat7úl (Líl̓wat), xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish) and səlilwətaɬ (Tsleil-Waututh) Nations. Over 500 wounded, injured and sick service personnel and Veterans from more than 20 nations are set to compete in a wide range of adaptive sports, including adaptive winter sports, for the first time in Invictus Games history.The Vancouver Whistler Games Corporation (VWGC) is a Canadian not-for-profit organization established to organize and host the Invictus Games Vancouver Whistler 2025. The RoleThe Eventsamp; Experience Coordinator for the Invictus Games Vancouver Whistler 2025 plays a pivotal role in ensuring all aspects of the guest experience journey are considered and meticulously planned for. Supporting the Director of Eventsamp; Experience and their large portfolio of functional areas, the coordinator will liaise in the organization and execution of key deliverables for the Games that will create incredible experiences in Vancouver and Whistler. The intention of this role is for the Coordinator to take a program view of the Eventsamp; Experience portfolio and support of the Director. Key Areas of Responsibility:

  • Assist with the coordination of operational planning and delivery of a variety of events and guest experience opportunities
  • Represent Director of Eventsamp; Experience and provide leadership and support to E amp;E managers and portfolio leads
  • Support with portfolio project management activities including reports, master project plan updates, agendas, minutes, issues trackers, scheduling, and more
  • Act as a trusted advisor, learning about the Games and partners, participating in operational planning and working together to create a seamless and exceptional Games experience for competitors, family and friends, and honoured guests
  • Maintain communication channels, providing regular updates to functional areas as required to ensure alignment and satisfaction with program activities and progress.
  • Liaise with Functional Area leads to coordinate various aspects of the guest experience
  • During Games Time, represent Director E amp;E when necessary, develop and lead department communication flow to ensure critical information is being shared through team and into Games Operations Centre
  • Support with volunteer program as required
  • Organize and collate project plans and updates
  • Update project plans and prepare daily run sheets
  • Other duties as assigned
Qualifications, Skills, Competencies:
  • Bachelor #39;s degree in a related field or equivalent practical experience.
  • Demonstrated experience in event management, preferably in a large-scale sporting event or similar setting.
  • Demonstrated experience in developing and implementing communication plans and event information guides
  • Proven ability to lead and manage teams, with strong organizational and interpersonal skills.
  • Excellent communication skills, both written and verbal, with the ability to engage with diverse stakeholders.
  • Ability to work collaboratively in a fast-paced, dynamic environment, with a high degree of flexibility and adaptability.
  • Knowledge or experience working with military personnel, veterans, or adaptive sports programs is desirable.
  • Experience with Smartsheet or other project management tools and software is an asset.
  • Military service, or connection to Military is an asset.
