  • Completion of Grade 12 and a community college secretarial program (or equivalent);
  • Two (2) years of experience in a public office (preferably in education);
  • Accurate word processing, bookkeeping and spreadsheet skills;
  • Ability to work under pressure with deadlines;
  • Strong interpersonal and time management skills;
  • Ability to communicate courteously and effectively with the public;
  • Completion of WHMIS and First Aid, or willingness to obtain upon hire;
  • Computer knowledge with proficiency in MS Word, Excel, Access, PowerPoint and Outlook.
Responsibilities:The Administrative Assistant to the Transportation Department is responsible to:
  • Main point of contact for Public/Staff/School Admin inquiries
  • Assists with public information for Bus Stops/Routes
  • Creates/compiles formal correspondence
  • Organizes/disseminates incoming correspondence
  • Codes all invoices for signatures
  • Maintains Transportation filing cabinets
  • Maintains/updates data base for all bus driver/ mechanic training requirements
  • Organizes training, collates sign in sheets for pay entitlements
  • Secures training venues
  • Maintains all transportation staff personnel files
  • Creates up dated contact information for all Transportation staff
  • Organizes/schedules new Bus Driver training
  • Creates job postings on the online hiring system
  • Creates new hire data information and tracks documentation
  • Collects and processes all invoices for signature for 3 garages
  • Collates all garage inventories
  • Recording Secretary for OH&S/monthly staff meetings
  • Assists OH&S Manager with data collection/ OH&S member contacts
  • Maintains all Fleet data changes for insurance purposes
  • Reconciles Fleet registrations
  • Maintains Form J files
  • Other related duties.
