Job Description

Join the Medicine Hat Police Service as an Executive Assistant Temporary (Up to 18 Months), Full time, On SiteThe Medicine Hat Police Service is committed to fostering a positive, supportive, and engaging workplace where every employee can thrive. Through a focus on collaboration, innovation, and support, we aim to empower our team members to achieve their best while contributing to the success of our community.Reporting to the Manager - Police Business Services, the Executive Assistant performs a wide array of executive support services to ensure the efficient administration and professional management of the Office of the Chief and the Police Service. To be successful in this role, you have exceptional interpersonal, planning and organization skills and thrive in a fast-paced collaborative team environment!Your key responsibilities

  • Researching, drafting, editing, and processing briefing materials, reports, letters, and other documents for the Office of the Chief and the police service.
  • Preparing agendas, recording minutes, and participating in meetings for the Executive Team, boards, and committees.
  • Managing payroll processes, maintaining records, and handling HR documents as needed.
  • Processing financial transactions, monitoring budgets, reconciling accounts, and managing travel expenses.
  • Managing visitors, handling telephone inquiries, distributing mail, and coordinating police service events.

Qualifications
  • Successful completion of a two (2) year diploma in Office Technology, Business Administration or equivalent from a recognized post-secondary institution.
  • Five (5) years of senior level administrative experience in an executive office, including two (2) years #39; experience working with police, civil and legal system practices, policies, and procedures.
  • Extensive experience in coordinating administrative processes, providing customer service and utilizing standard office technology.
  • Previous experience with payroll processes would be an asset.
  • Must pass a full Police Service security clearance as outlined in Medicine Hat Police Service policy and procedures, including a polygraph examination.
  • An equivalent combination of management approved training and experience may be considered
