This position reports to School Principal.Main Responsibilities:performs clerical duties either electronically or on paper for the school, includingrecords management, updating manuals, filing and preparing correspondence,reports, minutes, agendas, calendars, newsletters and various other documents;completes and verifies absence reports, time sheets and other HR relateddocuments electronically or on paper;creates and maintains student information, registration and Ontario Student Recordfiles including O.S.O.R. cards and responding to requests for information or transferof records;maintains, reconciles and reports on petty cash, school bank account, and schoolbudget records;prepares and tracks requisitions (purchase and warehouse); receives, verifies andensures delivery of purchased items, stocks and monitors office supplies andequipment requisitioning and repairs of equipment, with some minortroubleshooting; packaging and arranging shipment of outgoing materials;provides reception services for the school receiving calls and/or visitors, contactingparent(s)/ guardian(s) as required, carrying out the functions of the Safe ArrivalsProgram, meeting needs of students coming into the office, deliveringmessages/information to persons in the school and processing incoming and outgoing mail;records and stores medication for students, maintains and update student healthinformation;assists with arranging transportation of students including arranging daily pickup anddrop offs for off-site events/trips and all required paperwork and reportingprepares report card data base creates teacher ’take home’ disks, importing studentdata and printing report cardsperforms other duties as may be assigned by the School Principal.Supervision:Does not superviseMain Contacts:Internal: students, staff, and volunteersExternal: parents/guardians, general public and community agenciesEducation & Experience:high school diploma or equivalent; and1 to 3 years experience;minimum 2 years experience in a school environmentSpecialized Skills:advanced level computer skills in word processing, spreadsheets and data bases;basic accounting proceduresEffort and Working Conditions:school office environment; moderate amounts of pressure to meet deadlines;some dealing with difficult people; moderate amounts of lifting materials under 5 Kgand some lifting materials over 5 Kg; moderate visual exertion and keyboardingExpected Competencies:In order to fulfill this position with an acceptable degree of competency, theincumbent will be expected to exhibit:Works on projects as part of a team, exchanging ideas and contributing skills thatcomplement those of the other team members.
