Job Description

The Black Creek Community Association is looking for an Office Assistant to ensure the efficient day-to-day operation of the office, and support the work of management and other staff. More broadly, the O.A. develops the profile of the Black Creek Community Association in a way that fulfills the Board’s Mission Statement, responds to community needs, and increases the use of the facilities.Primary Duties & ResponsibilitiesTo manage office reception by:· Answering phone inquiries and greeting clients using a professional and courteous manner · Directing inquiries to appropriate staff members · Replying to general information requests with the accurate information · Executing and maintaining program registration and facility rental proceduresTo manage office administration by:

  • Using Adobe, MS Word and Excel to prepare documents and maintain templates, and Office 365 for email and OneDrive file sharing
  • Optimize and maintain the facility management software program (used for sales, program registration, facility rentals, client database, etc.)
  • Managing facility rentals, executing quotes and contracts, coordinating janitorial and other needs/special requests, and any necessary follow-up with the client
  • Maintaining, updating, posting and distributing facility bookings and program calendars
  • Maintain facility tidiness and inventories
  • Provide administrative support to management and other staff; communicate with staff regarding help specific to their areas of responsibility (e.g. programming and event promotions and logistics)
  • Maintaining an adequate supply of forms on hand for efficient administration of office (program sign-in sheets, etc.)
  • Updating the highway sign and the bulletin boards in/around the community centre
  • Back-up electronic files using proper procedures
  • Totalling and submitting childminding hours to parents requesting monthly payment via email monthly
Qualifications· Excellent customer service skills· Excellent written and oral communication skills· Proficient computer skills including Word and Excel, and management software platforms.· High level of organizational skills and attention to detail· Ability to demonstrate initiative and be resourceful· Team player who is able to work independently with a positive attitudeMisc./Other:Candidate must complete a successful criminal record check. Wage is $18/hr; benefits include free use of the fitness room and discounts on program registration fees. Our office shift are Monday to Saturday 9 to 1pm, as well as Monday to Thursday evenings from 4 to 8pm. We are interested in hiring someone for as many of these shifts as possible. Of particular interest would be someone able to cover all the evening shifts, and ideally the Saturday morning shift as well.Job Types: Part-time, PermanentPart-time hours: 20 per weekSalary: $18,500.00-$25,000.00 per yearBenefits:
