Some support will be required for other individuals within the Vice President #39;s team. The Executive Assistant will be expected to manage daily tasks and prioritize workload in collaboration with the Vice President and other team members effectively and proactively. As an excellent communicator with superb multi-tasking and organization skills, you will display professionalism and efficiency in representing the Vice President. You are comfortable in interacting with senior management across all business entities and you will serve as a role model for our Company Values while representing the Enterprise Complianceamp; Ethics team both internally and externally to all stakeholders.Responsibilities:
  • Provide high-level executive administrative support to the Vice President
  • Manage calendar and scheduling of meetings with a strong ability to resolve conflict of schedules
  • Liaise with senior executives and EAs throughout the Company, as well as Board members and their EAs, in a professional and confidential manner
  • Book all travel arrangements (local, national and international when applicable)
  • Take meeting minutes and assist in preparing documents and presentations. Assist with quarterly Board Reporting.
  • Compile, design, review and coordinate various materials for PowerPoint presentations, including complex visuals in a succinct and clear manner
  • Maintain and compile data for reports / charts / graphs / spreadsheets
  • Track / follow through requests, paperwork (e.g. supplies, preparation and submission of expense reports), meeting set-ups and correspondence / emails
  • Maintain an organized filing system for easy retrieval of files using SharePoint
  • Process and assist with new hire set-ups, internal transfers, and terminations
  • Use professional judgment to screen, prioritize and determine actions for incoming inquiries
  • Organize and coordinate client events, workshops, team meetings and training sessions
  • Prepare and reconcile expense reports, credit card statements and reimbursements
  • Assist the VP and direct reports with special projects as required
  • Adopt a continuous improvement mindset and look for ways to improve administrative ways of working for the department
Qualifications:
  • Minimum 2 years working in a similar environment will be considered an asset.
  • Previous experience working for a large organization/practice
  • Demonstrated proficiency and advanced knowledge in all aspects of Microsoft Office, in particular PowerPoint and Excel
  • High level of professionalism, approachable and tactful with demonstrated ability to interact with people at various levels of an organization
  • Ability to work in a highly organized manner where detail, accuracy, urgency and confidentiality are critical
  • High level of accuracy, proof reading ability, and attention to detail
  • Ability to multi-task in a very fast-paced environment and be adaptable to changes
  • Effective team player but able to work alone as required
  • Excellent verbal and written communication skills
  • Initiative, strong judgment and problem-solving abilities
  • Must be able to travel between offices
