Job Description

The Office of the Provost and Vice-President (Academic) seeks an engaged, motivated, and organized individual to join our support staff team, to work in a fast-paced work environment. The Administrative Assistant provides confidential administrative support to the Office of the Provost and Vice-President (Academic), which includes the Office of Research Services, Faculty of Graduate Studies, Sexual Violence Education & Prevention, Co-operative Education Program, and the Centre for Teaching, Learning & Technology (CTLT). As the first point of contact, the Administrative Assistant is responsible for greeting and providing exemplary customer service to all who engage with the Office.Duties and ResponsibilitiesThe Administrative Assistant is expected to undertake and prioritize a vast number of assignments and tasks relating to the internal and external functions of the Office of the Provost & Vice-President (Academic). They will work closely with the Provost and the Executive Officer to the Provost & Vice-President (Academic) and Research Ethics Officer, as well as the senior staff and administrators working under the auspices of the Office of the Provost & Vice-President (Academic). The Administrative Assistant must liaise and maintain collegial relationships with both internal and external stakeholders.

  • General Administrative Duties: prioritizing inquiries and other communications; answering phones; arranging appointments and meetings; organizing the logistical planning of external visitors; fielding inquiries from the campus community and general public; dealing with sensitive and confidential situations;
  • Planning and Coordinating Meetings and Events: assisting with logistical planning of meetings, events and initiatives;
  • Administrative Support for Committees: preparing agenda packages, taking minutes, coordinating post-meeting action items, preparing general reports;
  • Accounting and Financial Matters: assisting with preparing and arranging items for signature, monitoring of accounts, ordering supplies/equipment; and
  • Other relevant duties as assigned.
Qualifications:A diploma or certificate in Office Administration and three-years’ work-related experience (or comparable combination of experience and education) is required. Preference will be given to candidates with experience in academic and administrative operations of a university environment.The successful candidate must possess:
  • strong organizational, interpersonal, and oral and written communication skills;
  • the ability to move seamlessly between multiple tasks and projects while balancing changing priorities and various interruptions;
  • the ability to demonstrate flexibility and adaptability to change;
  • extensive knowledge and capability with information technology;
  • the ability to maintain confidentiality and exercise sound judgement in complex and sensitive situations; and
  • the ability to exercise a high degree of initiative.
This position is subject to a Criminal Record Check. The successful candidate will be responsible for any service charges incurred. These checks must be submitted in accordance with the Policy in order to maintain employment.This is a full-time, regular appointment under the classification of Excluded Support Staff, Level 1 (ESS 1), with an annual starting salary of $51,296.00 and a comprehensive benefits package.
