Reports ToDirector of FinanceJob SummaryThe Office Assistant, under the direction of the Director of Finance, will primarily be responsible to prepare, review, and/or edit various forms of correspondence such as letters, invoices, presentations, publications, and reports. This position will administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence. This role will also assist in the compilation of data for various reports.Competencies

Job Duties
  • Prepare, review, and/or edit various forms of correspondence such as letters, invoices, presentations, publications, and reports
  • Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence
  • Assist in the compilation of data for various reports
  • Maintain a high level of confidentiality in all interactions
  • Maintain and monitor office supply inventory levels; place orders as required; and arrange for servicing of office equipment
  • Organize, maintain, and coordinate office records and files
  • Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders
  • Accurately and appropriately file correspondence, invoices, and receipts
  • Answer telephone and electronic inquiries and relay telephone calls and messages
  • Schedule and confirm appointments, meetings, and conferences for management team and/or clients/customers
  • Knowledge of general book keeping principals is a definite asset
  • Have the ability to evaluate situations and develop alternative courses of action when needed
  • Be flexible in working in other sectors if needed
  • Must have working knowledge of Microsoft Office 360 - Word, Excel, Outlook, Powerpoint, Google Docs, and be flexible to learn other programs if required
  • This position is considered permanent part-time with a minimum of 25 hours per week guaranteed.
