We are currently looking for an Administrative Assistant to support various administrative responsibilities with a focus on property administration, marketing and specialty leasing.   • Provide day-to-day administrative support for Managers and projects as needed. • Provide support to tenants as needed with OxComm, Oxford’s tenant communications app.
  • Respond to tenant inquiries relating to Southcentre rules and regulations, hours of operation, parking and security.
  • Provide reception coverage, as required, greeting guests in a friendly and professional manner.
  • Complete rent cheque deposits.
  • General retailer communication. • Maintain organized electronic and paper files.
  • Communication and coordination with Guest Services.
  • Monthly tenant sales collection and daily traffic reporting. • Other duties as assigned.
Marketing and Specialty Leasing
  • Provide administrative support for the preparation and control of Specialty Leasing and Marketing transaction documents, tracking reports and storage inventory.
  • Contact and organize suppliers for events, activations, and temporary tenants.
  • Coordinate set-up and take downs of tenants and events with other relevant internal teams.
  • Coordinate non-profit pop-up requests.
  • Conduct Specialty Leasing and Leasing tours of vacant spaces as required.
  • Assist with prospecting of new tenants, screen specialty leasing inquiries and provide preliminary information to prospective tenants.
  • Assist the Specialty Leasing Manager in reaching strategic objectives with revenue/income opportunities, as well as coordinating activations.
  • Other duties as assigned.
To succeed in this role, you will have:
  • Completion of High School
  • Two years of previous experience in a similar position
  • Relevant coursework or education is an asset
  • Proficient in MS Office; Word, Excel, PowerPoint, Outlook and Teams
  • Experience with Adobe Acrobat
  • Independent and self-motivated - able to work with minimal supervision
  • Strong organizational skills including attention to detail and multi-tasking
  • Excellent resource, planning, and time management skills
  • Strong interpersonal, communication and writing skills
