THE ROLEJoin Triovest as an Administrative Assistant, Construction & Development at our downtown Calgary office. In this role, you will be responsible for providing administrative assistance to the Construction and Development team along with project support. WHAT WILL YOU BE DOINGTeam Support
  • Support the Construction and Development team with scheduling, meeting coordination, and calendar management.
  • Create and maintain electronic and paper filing systems for projects; assist with transfer to cloud-based systems.
  • Assist in developing standardized templates for the team.
  • Assist with drafting documents, including formatting and proofing documents created by others, creating a final document, copy and distribute as advised.
  • Document control, utilizing processes and systems to ensure documents are reviewed and processed accurately and efficiently.
  • Follow up on administrative files, ensuring time schedules and/or deadlines are respected.
  • Collaborate and keep the lines of communication open within team, including other internal teams.
  • Create and maintain various project/company lists, and files (i.e., contact lists).
  • Type, proof, and format reports, correspondence, forms, etc.
  • Assist in the compilation of reports and other project and company communication.
Project Support
  • Create, monitor, update, track and interpret project data including contracts, schedules, budgets, and cash-flows on an on-going basis.
  • Lead the preparation of monthly project status and construction draw reports to ensure accuracy and deadlines are met.
  • Spearhead data collection from existing and new sources, including site visits to local projects and city halls.
  • Prepare meeting minutes and assist in the preparation of budgets, client reporting, general correspondence, and staff schedules (including travel arrangements), contracts and other development & construction documents.
  • Track change order and project documentation through project pre-development, construction, commissioning and completion phases.
  • Assist the development and construction team with RFP’s.
  • Collect data during project implementation to provide constructive guidance in project completion as well as post project improvements.
  • Assist with project invoice organization including coding, tracking, signature approvals, in cooperation with the Project Manager and Accounting team. project manager and accounting.

To fulfill this role successfully, you should demonstrate the following minimum qualifications:
  • Post-secondary degree required; technical diploma, industry relevant certification in a development or construction related field of study and/or General Business degree.
  • Minimum of 3 years’ experience in an administrative capacity supporting a high-paced team.
  • Experience in Commercial or Residential real estate industry is an asset.
  • Knowledge of Microsoft Office with superior Excel capabilities including Adobe.
