Job Description

DescriptionRenfrew Educational Services is an independent school and acknowledged leader in program development for children with special needs and children who are typically developing. For over 49 years, Renfrew has offered a wide range of programs and services to children from Calgary and surrounding areasPosition SummaryWe are currently accepting applications for a full-time position as an Administrative Assistant with support to the Executive Team. This individual will work closely with the School Programs and Community Services Department as the Administrative Assistant at the Child Development Centre, 3820 24 Ave NW 3 days per week, and at the Janice McTighe Centre, 2050 21 St NE 2 days per week. This is a permanent position with an annual schedule of 10.75 months.Please refer to the Renfrew Educational Services webpage: http://www.renfreweducation.org under the ‘Services & Programs’ for more information about the programs and services that Renfrew provides.Duties and Responsibilities

  • Provide clerical and administrative support to the School Programs and Community Services Department by:
  • Setting up and maintaining agency files, staff files and children’s files (filing assessments, memos and reports, etc.).
  • Entering, maintaining, and updating various office documents in our database.
  • Serve visitors by greeting, welcoming, directing and announcing them appropriately..
  • Maintain security by following procedures and controlling access (screen and provide identification tags to all individuals coming into the school, maintain sign in/out record for staff and visitors).
  • Manage incoming and outgoing mail, including courier deliveries and services.
  • Provide support to the Executive Team:
  • Draft, review and send communications on behalf of company executive(s).
  • Maintain various records and documents for executive(s).
  • Transcribe minutes of meetings.
  • Arrange meetings – reserve space, order refreshments.
  • Proofread and edit various documents.
Minimum Qualifications
  • Post-Secondary education in Business Administration, Office Administration, or related studies and/or combination of education and office experience, may be considered.
  • Minimum 2 years recent experience working in an office environment.
  • Excellent computer skills, MS Word, Excel and Outlook.
  • Proficient with data entry and working with various databases.
  • Exceptional verbal and written communication skills (including writing, editing and proofreading skills).
  • Superior telephone manners and strong interpersonal skills.
  • Ability to multi-task in a fast-paced work environment.
  • Good problem-solving, time management and trouble shooting skills.
  • Ability to pay attention to detail.
  • Strong organizational skills.
  • A detail-oriented self-starter with prior executive and administrative assistance experience working for a not for profit organization.
  • Energetic and eager to tackle new projects and ideas.
  • A team player capable of cultivating productive working relationships across the organization.
  • Proof of Covid-19 vaccination is a condition of employment.
