Job Description

The Opportunity:McElhanney is seeking an Administrator to join our Major Projects division in Calgary, AB to support a team of engineering professionals. The successful candidate will thrive in a fast-paced environment and anticipate the needs of the office and team to run a successful operation.As an Administrator you are the glue that keeps the team together, wearing a variety of hats. You are able to work independently while bringing forward opportunities for improvement within our current processes, you have an approachable demeanor and are comfortable managing competing priorities with ease.What You’ll Be Doing:

    • Provide branch reception services (professionally greet and assist clients, answer phone, coordinate incoming, outgoing mail/couriers, etc.)
    • Assist with managing branch accounts payable and receivable including invoicing, recording/reconciling bank deposits, and organization of collections for outstanding accounts
    • Initiate projects and assist with compiling project control data
    • Input and monitor employee timesheets and liaise with payroll accordingly
    • Assist with production and assembly of proposals, reports, and client documents
    • Perform branch level HR tasks such as employee benefit coordination, new hire paperwork, employment letters, and liaising with HR, as needed
    • Compose letters, legal documents, memoranda, and email correspondence
    • Organize meetings and make staff travel arrangements
    • Manage inventory of office supplies, filing, archiving, and disposal of branch documents
What You’ll Bring: :
    • Minimum 5 years’ experience in an administrative support role; post-secondary administrative training is preferred
    • Proficiency with MS Office (Word, Excel, PowerPoint); knowledge of Microsoft Dynamics SL an asset
    • Knowledge of basic accounting principles
    • Excellent communication skills – written and verbal, with exceptional grammar and composition skills
    • Ability to work independently and take initiative, and function effectively without continuous direction
    • Excellent multi-tasking capabilities and top-notch organizational skills
    • Professional and friendly demeanor and the ability to handle confidential information with discretion
