Job Description

Your Opportunity:This position within the Contracting, Procurement and Supply Management (CPSM)’s Strategic & Major Procurement Initiatives Center of Excellence (COE) Team, will work closely with other team members and the Program Director to complete competitive processes and contracting activities, for contracts across the breadth of the organization. Not confined to a particular area or commodity, the position will support the COE Lead positions in completing the highest priority and most complex competitive processes and negotiations taking place at AHS, working in concert with AHS program groups to deliver on strategic organizational initiatives. The core responsibility for the role is to work with the other COE team members to facilitate successful achievement of objectives for the multifaceted contracting initiatives at AHS. It is a unique opportunity to work with some of the most experienced and successful sourcing staff in AHS, while being at the center of major strategically significant projects benefiting the organization as a whole, while contributing to best practice training / template creation and supporting staff in utilizing our sourcing enablement platform.Description:This position supports the COE through a range of responsibilities by allowing Leads to focus on key priorities. By the nature of this role actual responsibilities day to day may vary wildly including but not limited to the following: Generally monitoring the group mailbox in support of the team, including communications support and coverage. Attending sourcing enablement platform training sessions as provided by the vendor. Development and improvement of internal training materials. Teaching AHS staff in the use of sourcing enablement platform and supporting CPSM Sourcing staff overall as a subject matter expert in the setup and running of projects on the platform. Attending monthly meetings with sourcing enablement platform account representative to discuss any ongoing issues or concerns or overall feedback with vendor. Generally monitoring the sourcing enablement platform Support mailbox, supporting all users of Bonfire. Escalation of tickets relating to sourcing enablement platform and other ad hoc activities to sustain the solution. Maintaining internal SharePoint template and training listings, managing prioritization of development based on incoming requests and monitoring intake of said requests. Developing / maintaining an RFX prioritization process and liaising with other areas of CPSM in arranging for reporting needs. Coordinating vendor presentations / product demonstrations / reference checks. Drafting vendor notifications / building contact sheets and supporting screening of responses within competitive processes. Proof-reading templates and other key documents (RFX Retention Bundles, recommendations, briefing notes, etc.) for other team members ad hoc. Help maintaining the RFX internal tracker as needed. Support in tracking team workload / building folder structures as required.

Required Qualifications:3-5 years in an organization of significant size, complexity and diversity. Developing and maintaining strong relationships with a variety of internal and external stakeholders. Strong analytical skills with the ability to evaluate complex business issues. Strong technical competency working with Word, Excel, PowerPoint, SharePoint and Acrobat. Strong written and oral communication and presentation skills. Ability to effectively work remotely and manage tasks / time responsibly with minimal direct supervision. Ability to complete work in a precise manner while under timeline pressures.Additional Required Qualifications:Capability to work completely independently with little to no direct supervision in completing complex tasks. Accountability for work products and meeting timelines essential to success; while knowing when to escalate and flag risks and concerns through sound judgement is also a major asset. Literate in standard MS office application suite, at a minimum MS Word, Excel and PowerPoint. Given the nature of the work, integrity is extremely important. The position will be responsible for objective and ethical decision making of very sensitive issues having import on major contract awards. Proven capability to thrive in a remote office environment.Preferred Qualifications:Experience supporting clients/customer inquiries. Experience in troubleshooting ERP/Procurement/Sourcing type software platforms. Working in a highly adaptive environment. Knowledge of contracting and legal terms.
