Job Description

Position OverviewHuman Resources is currently seeking a Full-time Limited Term Advisor for approximately 1 year.Reporting to the Case Manager in the People Processes & Solutions team in Human Resources, the Advisor works with various HR teams in an administrative and advisory capacity in both a general and, at times, specialized capacity; the role is focused on supporting teams through peak demand periods, short-term vacancies and with project/initiative work. The role has a strong focus on customer service, continuous improvement and providing comprehensive and proactive HR support to the campus community for all staff groups. Significant cross-functional teamwork and communication is required with Human Resources staff, employees and managers across the university community.Position DescriptionSummary of Key Responsibilities (job functions include but are not limited to):This position will support multiple teams across the HR function. Working in both an administrative and advisory capacity. Functions may include: ensuring accurate and timely action on processes and tasks related to the employee lifecycle (hiring, onboarding, changes, benefits, leaves, etc.), investigating and responding to employee and manager enquiries on the aforementioned work, and general project and administrative support. Tasks and Dutites may include:Recruitment, Hiring and Onboarding SupportComplete Job Opening Requests, job posting, liaising with hiring managers, prepare offer letters for managers and coordinate recruitment advertising, places external advertising.Provide general phone screen, interview and reference coaching, including sample questions and guides.Coordinate relocation by liaising with new Academics and relocation vendors; reviewing expenses claims in accordance with established guidelines.Approve and finalize hires in PeopleSoft HCM, including, but not limited to: AUPE / MaPS hires and transfers, hourly type roles and other Template Based Hires (TBH), Clinical and adjunct hires and reappointments and various types of manual hiresEnter Work and Study Permit information in Peoplesoft and respond to corresponding inquiries; validate Social Insurance Number (SIN) transactions through established PeopleSoft modules and processes.Career Development and Transitions SupportApprove and process employment “Job changes” in PeopleSoft, including transactions such as: reappointments and extensions, changes to reporting managers, titles, etc. Provide employment verification letters.Provide support for cyclical academic processes such as Tenure and Promotion, Research and Scholarship Leave and Academic MeritPerformance Management Administration - Creates and maintains performance documents for use by end users and managers, ensuring data integrity and access. Acts as the triage or escalation point for end-user inquiries for the performance management tool. Provides reporting and interpretation support for performance management activities.Learning and Development Support - schedule classes and instructors, coordinate enrolment and completion, responding to inquiries, evaluation administration and marketing support. May liaise with vendor and participants to ensure registration, materials and prework are available and completed in preparation for coursesBenefits, Leaves and Offboarding SupportUpdate and maintain benefit enrollment data information related to new hires, job changes, terminations, etc.Processing various leaves in job records and updating person and benefit records to align.Update employee flexible spending account information with Alberta Blue Cross systemsProcess terminations, resignations and retirements for all staff groups (job and benefit records) ensuring following up with leaders on late terminations.Acknowledgement of academic retirements by drafting letters for Provost review and signature.Support sick leave process by reviewing and updating employee timesheets in accordance with communications from Staff Wellness. Prepare and send communications to employees such as sick leave acknowledgement lettersGeneral Operational SupportReview and approve Professional expense reimbursement requests in PeopleSoft in accordance with established guidelinesMaintain data integrity for person and job information in PeopleSoft by running established queries, investigating for anomalies and correcting data or following up with individuals as required.Filing: collate paperwork, file paperwork in employee and benefit files, aggregating files for archiving purposes and prepare related reportsUpdate information, forms and content on the HR website (e.g. Training and Development, Forms, etc.)General and Project/Initiative SupportSchedule meetings, prepare and distribute relevant documentation.Use a variety of software applications to produce and prepare documents, reports, process maps and presentationsTake meeting notes/minutes as requested, monitor and track action items as required, researching/investigate related agenda or action items, and at request of manager contact stakeholders for more information or research material.Perform updates and maintain reports and/or databases containing employee information; maintain tracking documents, mailing lists, contact lists and organizational charts.Support and participate in the coordination and processing of cyclical eventsQualifications / Requirements:Post-secondary education, preferably in Business Administration or Human Resources or equivalent related work experience2-3 years of experience in an HR environment, some of which would preferably be within public sectorExcellent technical skills, proficiency in PeopleSoft HCM or other HRIS applications, as well as Microsoft Office applications (Outlook, Word, Excel, Teams, SharePoint) in relation to administrative and project functions.Ability to develop innovative, productive solutions to complex issues and problems and to make improvements in existing systems and processesStrong interpersonal skills, including displaying sound judgment, tact and diplomacy in interactions with various internal and external stakeholdersA positive attitude and a demonstrated ability to be a collaborative team member with a service delivery focusAbility to manage multiple projects and queries simultaneously while working under pressure to meet deadlinesStrong interpersonal and organizational skills; a high degree of initiative, requiring minimal supervisionAbility to multi-task and effectively work with all employee groups, dealing with tact and diplomacy in all situationsStrong written and verbal communication skillsKnowledge of university policies and procedures is beneficialApplication Deadline: July 26, 2021We would like to thank all applicants in advance for submitting their resumes.
