Job Description

Position OverviewThe Office of the Provost and VP Academic is currently seeking a Part-time Temporary Relief Analyst, Planning and Reviews for approximately 18 months.Reporting to the Senior Director, Program Innovation & Planning ,Office of the Provost, the Analyst, Planning and Reviews plays a key role in managing and coordinating various aspects of administration, academic matters and projects that affect the Provost and Vice President (Academic)s portfolio with a focus on quality assurance. The incumbent in this position also works closely with the Vice Provost (Teaching and Learning) and the Executive Director, Office of the Provost, to ensure academic priorities and initiatives are in hand for the Provost and Vice President (Academic). To this end, the incumbent in this position requires a clear understanding of institutional priorities and the role of the Office of the Provost and Vice President (Academic).The Analyst, Planning and Reviews is responsible for managing and coordinating Quality Assurance Unit Reviews for units reporting to the Office of the Provost. Unit Reviews assess the University of Calgarys undergraduate, professional and graduate programs as well as a units research and governance. The Analyst also supports the Quality Assurance Curriculum Review process which examines programs for the purpose of optimizing student learning and student experience. The position is responsible for supporting and actively participating as a key member of the Program Innovation Hub which brings together experts from around campus to provide coordinated support for program development, from ideation to implementation. The Analyst is responsible for administrating the Decision Support Team (DST), managing the process of program approvals through the University channels and the preparation of files and submission to the Provider and Program Registry System (PAPRS) for provincial approval.This role is part-time, working 28 hours/week.Position DescriptionSummary of Key Responsibilities (job functions include but are not limited to):

  • Maintains and monitors a database and work plan of new academic programs and program changes under development to ensure the timely and accurate progression of program applications through the university approval processes and provides regular updates to the Provost Team
  • Maintains a complete record of each program submission including original proposal, all communication and documentation related to the proposal and recommended changes, tracking of each activity related to the proposal, and the final outcome
  • Ensures the proper archiving of materials and the management of data
  • As part of the Program Innovation Hub, tracks and manages the flow of program proposal submissions and provides consultation for internal and external stakeholders to ensure adherence to policies and procedures related to program approval
  • Assists the Senior Director, Program Innovation & Planning with the submission of program proposals to the Ministry via Government of Albertas Program and Proposal Registry System (PAPRS) and the Campus Alberta Council and ensures submissions are complete, monitors proposal review and approval by the Ministry, follows up on questions from the Ministry, and communicates approvals with appropriate stakeholders
  • Ensures that suspension proposals in the Program and Proposal Registry System (PAPRS) are updated and reviewed regularly
  • Performs other duties and projects as needed to ensure all aspects of program development, review, and approval and quality assurance are handled
  • Provides administrative management for the Decision Support Team (DST) meetings and the Program Innovation Hub, including supporting the Vice Provost (Teaching and Learning) and Senior Director, Program Innovation & Planning with agenda development for DST meetings, coordinating meeting logistics, distributing materials to committee members in a timely manner, and maintaining pending business tracking lists for DST and ensuring necessary follow up is handled
  • Provides senior level support and advice and works with the Senior Director, Program Innovation & Planning to plan, execute and oversee the Major Unit Review Quality Assurance process.
  • Provides logistical expertise and strategic planning skills required for optimum timing and synchronization of reviews
  • Senior Director, Program Innovation & Planning to finalize the annual review schedule
  • Maintains and updates D2L sites that hold unit review documents
  • Strives to continually improves forms and processes
  • Drafts budgets for the Executive Director, Office of the Provost to review and tracks expenditures related to unit reviews and reports them to the Executive Director
  • Maintains strong collaboration with the Office of Institutional Analysis to ensure timely and appropriate consultation and information distribution to units
  • Works with the Vice Provost (Teaching and Learning) to do annual curriculum review scheduling and coordinates reports and meetings
  • Provides administrative support for creating workflow and timeline charts and posting on the Provosts website
  • Coordinates multiple reviews and assumes a senior liaison role with reviewers and units
  • Provides advice to staff within the units to ensure the timely and accurate completion of reviews
  • Maintains strong collaboration with Educational Development Consultants in the Taylor Institute and the Office of Institutional Analysis to ensure timely and appropriate consultation and information distribution to units
Qualifications / Requirements:
  • A university degree
  • Minimum of five years of experience in progressively responsible administrative roles, with the ability to work independently within a large institutional environment with a variety of groups
  • Proven ability to work collaboratively with senior administrators and with team members from a variety of disciplines
  • Extensive knowledge and understanding of University policies, governance, and academic programs including ii taapohtop, the Universitys Indigenous strategy and principles of equity, diversity, inclusion and accessibility.
  • Superior analytical reasoning and organizational skills
  • Skilled in problem solving and excellent oral and written communication skills
  • Highest ethical standards
  • Strong computer knowledge and skills with D2L, Sharepoint, and Microsoft Office
  • Understanding of the Universitys UCLASS filing system
  • Desire to pursue continual upgrading and training in technology and professional development
