Job Description

Position OverviewWe are seeking an individual to join our team in the Calgary office. As an Assistant the incumbent will contribute to growing the business by providing support to the Investment Advisor(s), ensuring high-level client service, and effective functioning of the team through administration-related tasks.Duties & ResponsibilitiesInvestment Advisor Support:Responsible for the professional servicing of incoming telephone and email contacts from clients, Advisors and other internal and external partnersAssist the Investment Advisor(s) in preparing account documentation including client reviews, presentations, correspondance and reportsClient Service:Foster and support client relationshipsRespond to requests for information from clientsInvestigate and resolve inquiries related to accountsRequest information and documentation from clients in order to open accounts and keep client files up to dateFollow up on client trades to ensure proper settlement and deliveryAdministration:Populate and send account documents to clientsProcess completed paperworkFiling and general administrative office duties as requiredEnter and extract information on the Maximizer CRM databaseAdhere to professional practices and standards, as well as internal processes and controlsSkills & QualificationsSuperior client relationship management skillsDemonstrate a professional and friendly mannerExcellent verbal and written communication skills in EnglishRelevant experience in the financial sector and/or administrative experienceExcellent proficiency with Microsoft Office particularly Word, Excel, PowerPoint and OutlookExperience with Client Relationship Management (CRM) systems such as MaximizerStrong organizational skillsMeticulous attention to detailAbility to prioritize, multitask, work within time constraints and follow-upAbility to work in a team environmentAbility to quickly learn new technologies and programsEducationPost-secondary educationAdministrative experience is an asset
