Job Description

Position OverviewThe Department of Active Living in the Faculty of Kinesiology is currently seeking a Recurring Part-time Assistant Coordinator.The University of Calgarys Active Living department is one of the largest and most diverse recreation departments based on a North American campus. Active Living has a team of 40 full time and up to 600 part time staff. On an annual basis our staff handle 47,000 registrations in over 75 recreational and sporting activities, and provide facility access to over a million users to our facilities: North Americas largest Outdoor Centre with climbing and bouldering walls, a gymnastics centre, an Olympic sized pool, a fitness centre with 200 m track, Canadas largest university racquet centre, five gymnasiums and access to the Olympic Oval. Active Livings mission is to enrich lives by providing quality programming and educational experiences which promote and encourage lifelong active living for all.The Health and Wellness unit offers a wide range of programs and services to support individuals in the attainment of an improved quality of life and optimal health.Programs and facilities in this area include fitness centres, group fitness, adapted and rehabilitative programming, and personal and group training. Facilities and programming are available to students, faculty and staff, and the general public. The area is led by a team of health professionals that include Certified Exercise Physiologists and Kinesiologists.The Group Fitness Class program offers a variety of 30-40 sections/term of instructor-lead group exercise classes.The Personal Training programs offer a number of different services, including personal and group training, fitness assessment and program design, delivered by part-time certified instructors.TrymGym is a comprehensive group training and educational program designed to help participants make healthy modifications to their lifestyle in a supportive, community focused environment.This Re-occurring Part Time position reports to the Manager, Health and Wellness and has accountabilities to the Coordinator, Personal and Group Fitness. Hours will be based on programming needs, determined by the Coordinator and Manager. Classes are programmed by academic term, with sections running Monday through Saturday in the mornings, afternoons and evenings. Peak periods run September to April with planning ongoing throughout the year.This position may involve moderate physical demands in relation to exercise demonstration and client interaction.This position is responsible for assisting in coordinating the operations related to the Personal and Group Fitness Programs (which include one-on-one, small group, team training; TrymGym programs; and Group Fitness programs). Generally, this includes assisting the Coordinator with: scheduling and programming classes; hiring and training qualified instructors; instructor/program evaluations; customer service; teaching and instructing classes/training sessions; and day to day operations of the programs.The position assists in the coordination and supervision of approximately 20 personal trainers and instructors, as well as practicum students. The incumbent represents the University of Calgary Health and Wellness programs, the Faculty, and the entire Active Living unit when conducting business within the University and in the community.Position DescriptionSummary of Key Responsibilities (job functions include but are not limited to):Operational:

  • Assists in the Coordination and supervision of the Personal and Group Fitness Program areas.
  • Assists in directing the delivery of the Personal and Group Fitness Programs, ensuring a consistent and high standard.
  • Assists in planning, development, scheduling, programming and marketing of the programs.
  • Assists in hiring, supervising, training & scheduling of part-time personal trainers and instructors
  • Provides regular professional development opportunities for staff and volunteers
  • Ensures proper CSEP protocols are followed by all instructors where appropriate, liaising between the Coordinator and trainers/instructors
  • Ensures accurate and up to date records of clients; ensuring record keeping for Risk Management and within scope of practice
  • Ensures safe upkeep of related program equipment
  • Undertakes on-going learning and personal development
  • Communicates regularly and thoroughly with both the Coordinator and the Manager, Health and Wellness
Client Services:
  • Assists Client Services in the processing and intake of new clients
  • Possesses in-depth knowledge of the Client Services Information System (CSIS) in order to:
    • Assist in thoroughly and accurately schedule classes
    • Assist with processing program registrations, transfers, withdrawals and cancellations
    • Ensure accurate client payment
  • Responds to participant questions and concerns in a friendly and professional manner
  • Administers participant surveys and data collection tools
  • Provides a respectful, positive, and non-judgmental environment to assist clients
  • Develops and maintains key relationships between staff, trainers and all client groups
  • Develops and maintains solid relationships with Active Living staff and industry experts
Personal Training/ Group Class Instruction:
  • Teaches and instructs personal and group training sessions
  • Conducts fitness consultations and assessments following CSEP protocols
Qualifications / Requirements:
  • Completion of at least 3 years of a post-secondary degree in a related field (Kinesiology, Sport or Recreation Management preferred)
  • Current Standard First Aid, CPR-C and cardiac defibrillator certification
  • Completion of Canadian Society of Exercise Physiology (CSEP) - Certified Personal Trainer (CPT) certification, in good standing
    • Completion of CSEP Clinical Exercise Physiologist (CEP) certification considered an asset
    • Other exercise and fitness certifications considered an asset
  • 2 years experience working as a group fitness instructor and/or personal trainer.
  • Demonstrated professional experience in a leadership role
  • Skill in analyzing performance and evaluating outcomes and results.
  • Demonstrated program development and evaluation methodologies
  • Experience with occupational testing (PARE, APREP, COPAT) is an asset
  • Strong organizational, communication (verbal and written) and interpersonal skills
  • Ability to negotiate difficult situations and to build positive relationships with colleagues, clients and other stakeholders
  • Experience in facilitating presentations is an asset
  • Proficient with Microsoft Office applications (Word, Excel, PowerPoint)
