Together we deliver exceptional experiences to our over 2 million daily customers.Scope:The Building Services Coordinator is responsible for delivering customer service excellence to internal and external customers, as well as monitoring and ensuring best in class presentation of the property, efficient and effective performance of building housekeeping services, 310-Maxx, Property Proud and other first impression programs.Responsibilities:Build and maintain positive tenant relationships by living the Oxford Commitment, every day in every transaction.Conduct “first impression†inspections and document investigative findings and seek and propose practical cost-effective solutions for rectification or management.Ensure tenant comfort and satisfaction through daily checks.Coordinate inspections, training, procedures and compliance with while promoting a positive health and safety culture in the workplace.Coordinate grounds and building maintenance activities and work schedules with internal staff and contractors through a common, network-wide CMMS to ensure corrective maintenance work orders are completed and closed.Communicate effectively with corporate tenants, other departments, divisions and outside vendors for operational services throughout the asset.Organization of operations projects – liaison with PM team for tenant communicationPlanned notices of who/what/when/where and impact to tenants drafted with advanced noticeCalendar of upcoming & ongoing operations projects throughout the yearAmenity Space R&M coordination, Vacant space repair coordination – i.e. blinds, carpet, appliancesManage the contractor permit process by ensuring appropriate documentation is completed by permit requesters accurately and in an approved timeline. This includes Hot Work and Fire Alarm System Impairment work.Work collaboratively with the Operations Supervisor, Operations Manager, Property Managers on all special projects including capital projects, marketing projects, specialty projects.Support the implementation of the Health, Safety and Environment (HSE) management systems to ensure property portfolio is operationally aligned with provincial and federal mandates and legislation.Assist with budget expenditure tracking, operating expense analysis, and reporting as required.Administer, monitor and oversee Oxford internal systems 310 Maxx, Property Proud.Utilize 310.Maxx (CMMS) for responding monthly tenant request to ensure a 95% site Key Performance Indicator and ensure maintenance priorities and contingencies of unplanned requests are met.Conduct quality control of janitorial contract, grounds keeping, waste management, pest control and H&S inspections to ensure maintenance of Oxford standards.In partnership with 310Maxx and other members of the team, effectively resolve tenant concerns by clarifying the customers complaint; determine the cause of the problem; select and explain the best solution to solve the problem; expedite correction or adjustment; follow up to ensure resolution.Assist and support Operations Supervisor/ Manager with building lobby events, National Program initiatives and logisticsAssist with property management team with move-in and move-out logistics upon request.Ensure clear communication with all teammates, tenants, and service providers.Assist with special projects and emergency situations as required.Our story:Oxford Properties Group (“Oxfordâ€) is a leading global real estate investor, asset manager and business builder.
