We collaborate with partner agencies, governments, organizations, and community advocates, to help immigrants and refugees build thriving lives in our community.Immigrant Services Calgary helps over 10,000 newcomers each year, connecting them to programs and services to unleash their potential.Our Vision: Unleashing the economic, social, and civic potential of clients.Our Mission: Connecting newcomers to the right service at the right agency every time.The Position:We are looking for a Client Care Representative that is fluent in Punjabi or Persian/Farsi, and English. This is a full-time (37.5 hr./week) temporary position with an expected end date of November 15, 2023.The Client Care Representative provides newcomer support to immigrants and refugees, as well as participating in offsite outreach activities in Calgary to promote ISC and Gateway Services. This position reports to the Client Care Manager and day-to-day activities will be directed and overseen by the Gateway Client Coordinator.Duties and Responsibilities:

  • Schedule appointments and book resources, Gateway Planners, interpreters and childminding.
  • Greet and welcome clients, complete check-in, provide information, and support wayfinding (i.e., get clients where they need to be by phone, online or in-person).
  • Screen and verify ID of clients booked for in-person services.
  • Work alongside other departments to provide an outstanding client experience.
  • Create contacts and resolve cases in Salesforce.
  • Respond to client inquiries, including taking calls, making outbound calls, transferring calls, attending to voicemails, and relaying messages.
  • Reception, including receiving and responding as needed to inquiries and connecting clients to the appropriate program/service.
  • Any other duties as assigned by the supervisor.
Qualifications and Skills:
  • Diploma in Office Administration or related training.
  • Solid experience in customer service and administrative support.
  • Experience working with newcomers from diverse ethnic and cultural backgrounds.
  • Experience with using RingCentral, Salesforce, Outlook, Teams.
  • Ability to work independently and in a team.
  • Available to work evenings and weekends, as needed.
  • Ability to thrive in a fast-paced environment, multitasking while keeping the focus on the client.
  • Strong analytical skills with high attention to detail and accuracy.
  • Excellent problem-solving skills.
  • Knowledge of the immigrant-serving sector is considered an asset.
  • Excellent communication skills.
  • Fluency in another language is considered an asset.
  • Ability to work in person or from home.
  • Fully vaccinated against COVID-19.
