Job Description

Full Time Client Services CoordinatorWe are hiring a full time Client Services Coordinator to join our multi-disciplinary team who believe every client deserves a highly personalized experience with exceptional results. This is primarily a client facing role and secondarily an administrative support role. The ideal candidate will give their full attention to our clients and their needs in a caring, friendly and confident manner. They will help our clients enjoy a positive clinic experience by showing their expertise and passion in everything from greeting, relationship building, photography, product selection and sales, membership management, marketing and event planning, social media and enewsletter communication, scheduling and front desk duties.The successful candidate will represent our brand and vision in all client interactions. They will demonstrate mindful attention to detail, exceptional communication and customer service skills and maintain a professional personal appearance. They work well in, and contribute to, a welcoming and caring service-oriented environment. They appreciate being part of a collaborative team to help our clients look and feel their best.Vive® Rejuvenation is a leading medical aesthetic clinic, and we have been providing high quality services in a professional and welcoming environment since 2007. We are located in the popular Aspen Landing Shopping Centre in a beautiful, bright and modern space.Role Overview and Opportunities:

  • Deliver exceptional customer service through all client interactions with a focus on building meaningful relationships and elevating the Vive client experience. Every call and interaction matters.
  • Be the first point of contact to welcome clients and help guide them through their visit; refreshments, paperwork, preparation, assist with photography, product education and selection, retail sales and scheduling.
  • Product education and retail sales in the clinic, by phone and virtual interactions.
  • Event planning, execution and follow up. Develop meaningful relationships with our industry partners.
  • Professional communication through social media platforms and enewsletters.
  • Manage memberships; implementation, tracking and renewals.
  • Follow and streamline administrative procedures with the goal being a seamless, elevated, and personalized experience for each client.
  • Excellent phone and in-person communication skills.
  • Handle paperwork, scheduling and follow-up appointments.
  • Manage time and resources effectively and efficiently to enhance clinic flow, client experience and best results.
  • Be self-directed and contribute to a high-performance team with confidence and vision.
  • Participate in educational events and training opportunities for ongoing growth and development.
Qualifications:
  • Minimum two (2) years’ experience in medical/aesthetic/spa reception or customer-facing role.
  • Medical/aesthetic/spa reception certification or equivalent years of experience an asset.
  • Knowledge and experience with JANE APP scheduling POS software and basic Excel.
  • Proven ability to establish rapport, build long lasting relationships and create a welcoming atmosphere.
  • Work habits include a high level of accuracy, efficiency, focused organizational skills and multi-tasking.
  • Experience in conducting introductory client consultations by phone, virtual and in-person platforms.
  • Experience in retail sales, online sales, inventory and invoicing.
  • Knowledge of medical grade skincare; ZO SkinHealth, Vivier, SkinMedica, Glo Skin Beauty Makeup is an asset.
  • Experience with photography.
  • Experience with event planning, social media management and enewsletter communications.
  • Experience with reward programs and memberships.
  • Proven track record for setting and meeting goals.
  • Able to prioritize and manage time efficiently.
  • Attention to detail concerning client confidentiality and personal information.
  • Proven initiative and solution-oriented mind-set.
  • Strong verbal, computer and written communication skills.
