Position OverviewThe Calgary Centre for Clinical Research in the Cumming School of Medicine is currently seeking a Full-time Regular Clinical Research Finance Lead.Clinical Research Finance Lead will support research, produce reports, and are responsible for the coordination and administration of research programs or projects. They work independently on day-to-day duties, providing direct support to the Director, and through the reporting structure to the Associate Vice President Health Research, and Associate Dean Clinical Trials, Cumming School of Medicine.Reports to the Director, Platforms Strategy.Position DescriptionSummary of Key Responsibilities (job functions include but are not limited to):CCCR AdministrationActs as the principal contact for investigators and coordinators with questions related to the conduct of Clinical TrialsLiaison for external groups involved with Clinical Trials as outlinedAdministrative oversight of clinical trials activities at University of Calgary (UofC)Administers the Clinical Research Fund (CRF)Administers the archiving processes for Clinical Trials materials (eg case report forms and regulatory documents) at UofC, including development and maintenance of relevant policies and proceduresMonitors research funding and budgeting resources, collaborating with Principal Investigators and Research AccountingDevelop project timelines, monitor and control of project deadlines and outcomes, and closeout of projectsResponsible for the creation and development of future web-based programs and/or websites for the CCCR, Research, Cumming School of MedicineFinancial FunctionsEnsures all historical financial documentation is secure and complete while following regulations set by the University and government such as FOIP, Record ManagementDevelops and provide reports as required (yearly activity reports and financial reports)Develops and implements new processes and procedures to increase work efficiency (e.g. new or modification to forms and developing new databases)Responsible for financial reporting, preparing budgets and financial forecasts, financial analysis, including variance analysis and analyzing/recommending opportunities for cost savings and efficienciesResponsible for accounts receivable and payableResponsible for financial planning and budget analysis, development, monitoring and reporting on budgetsResponsible and accountable for the development and creation of reports, analyses, briefings and presentationsResponsible for invoice tracking and payment related to archiving of Clinical Trials materialsSupport/AdvisingReceive, respond and/or direct inquiries (phone, email and in person) from internal and external stakeholdersIndependently maintains and updates the office procedure manualsProcesses correspondence, including letters, faxes, e-mails, reports, presentations and composing/compiling these as necessaryResponsible for managing schedules, book appointments and occasional travel and assist in the coordination of meetings (including catering, teleconference and videoconference set-ups) and the preparation of meeting materialsResponsible for the coordination and administration of research programs or projectsPrepare, edit, and proofread correspondence, invoices, presentations, publications, reports, and related documentsParticipate in meetings, take minutes and distribute agendas and minutesPrepares and edits information into PeopleSoft E-Fin regarding cheque requisitions, travel claims/advances, purchase orders, invoices and expense paymentsResponsible for preparing slide presentations and posters utilizing the applicable MS Office ProductOversees the travel arrangements for faculty and visiting lecturers, and possibly assist in coordinating conferences, including arrangements for transportation, accommodation, preparation of itineraries, applications for funding, dealing with the travel agency/hotel, completing all necessary forms and requisitionsQualifications / Requirements:Bachelor or Masters degree in a related areaPost-Secondary Certificate/Diploma/DegreeUndergraduate degree in a related field requiredSpecialized certificationMinimum of 5 years related experience and completion of post-secondary education in related disciplineSeveral years of demonstrated experience in a major university or business involved in administrative procedures and computer applicationsKnowledge of the principles and practices of business accountingKnowledge and understanding of budget managementExperience with: general budgeting, accounts receivables and payables process, financial analysis, invoicing, audits, forecasting and variance analysis conceptsAbility to prioritize workflow and meet critical financial deadlinesSeveral years of demonstrated experience in Clinical Trials, requiredWell-developed knowledge and expertise in Clinical Trials Advanced certification in Clinical Trials (SOCRA or other)Clearly documented experience with Clinical TrialsStrong demonstrated expertise working with various computer programs including MS office, SharePoint and PeopleSoftStrong demonstrated expertise working with databasesExcellent communication skills, organizational skills, problem solving skills and interpersonal skills requiredKnowledge of web-based programs and web-site maintenance considered an assetAbility to plan and direct research and administrative activities within a team environmentHigh level of understanding and capability of office administrative practicesFully proficient interpersonal and organizational skillsKnowledge of the University of Calgary processes and procedures is
