We offer an exciting place to build your career with competitive compensation and benefit packages, company matching RRSP/DPSP program, employee home purchase program and employee discounts.Job OverviewReporting to the Director, Development as the Commercial Tenant Coordinator you will effectively and efficiently steward the care, custody and control of tenants in new development projects and existing assets. You also act as the first point of contact for tenants and other related parties.Your day-to-day responsibilities will include:

  • Acting as the first point of contact for tenants relative to inquiries and distribution of documents, ensuring delivery of excellent services throughout the leasing process.
  • Obtaining, circulating, reviewing and approving tenants’ plans, submittals, signage applications, and shop drawings. Tracking pylon signage and tenants’ panel positions.
  • Liaising with major tenants’ construction personnel to cost deals and establish timeframes. Ensuring documents, including insurance, WCB, prime contractor etc., are in place prior to beginning constructions.
  • Liaising with Project Managers to establish landlord’s work scope, associated budget and implementation schedule. Coordinating and managing related processes including turnkey tenancies, design consultation, construction implementation and tenant turnover.
  • Assisting in tracking tenants’ and landlords’ work scope, budgets, Development and Building permits, reviewing cost reports and approving related invoices.
  • Coordinating area certificates, fixturing period commencement letters, and tenants’ utility meter/sub-meter applications in conjunction with Project Manager and Property Manager.
  • Coordinating and leading pre-possession, pre-board, and final completion inspections for tenants’ premises. Following up on deficiencies and close-out deliveries.
  • Reconciling budget and costing, and liaising with Accounting team to issue invoices for tenants and to request for tenant improvement allowance as required.
  • Coordinating meetings, including recording and distributing the minutes to related parties. Updating project files and maintaining accurate documents for all projects.

Essential Requirements
  • High School Diploma or equivalent.
  • Minimum 5 years of experience in a role of Development Coordinator, Tenant Coordinator, Project Manager in Construction, Real Estate, Architectural Technologist, Engineering or similar.
  • Ability to read, interpret and review technical drawings with well-rounded knowledge of commercial construction and leasing.
  • Valid driver’s licence and access to a reliable vehicle.
  • Proof of COVID-19 vaccination.
  • Satisfactory verification of criminal record check.
  • Proficient in Microsoft Office programs (Outlook, Word, Excel, PowerPoint), PDF annotation software (Adobe Professional, Bluebeam etc.).
Preferred Requirements
  • Degree or Diploma in Engineering or Project Management is preferred.
