Join our team!SummaryAltaLink is looking for a bright and energetic Executive Assistant to provide administrative support to the Senior Vice-President (SVP), Law, Regulatory and General Counsel. This position will appeal to an individual who enjoys both the challenge and achievements offered by a fast paced, high-energy work environment. At this level, work is performed with a high degree of discretion and independence. Efficiency, sound judgment, attention to detail, self-composure, and a positive attitude are essential attributes for success. The successful candidate enjoys the challenges of executive leadership, understands the importance of calendar management and has proven competence juggling issues and priorities. The individual takes professional pride in administrative, accounting and the tracking of executive and leadership team commitments, preparing presentations, handling confidential correspondence, maintaining executive & department files, answering telephone inquiries, arranging meetings, and coordinating off site events. This individual will also provide administrative assistance in regulatory applications. The ability to work additional hours during peak project times may be necessary.Responsibilities

  • Supports the effective time management of the SVP, including but not limited to: tracking executive commitments and external responsibilities, maintaining and anticipating calendar/brings-forward files, email screening and prioritization, ensuring notification of upcoming deadlines, and assisting in meeting preparation.
  • Prepares confidential internal and external correspondence, statistical tables, charts, reports and presentations from basic instructions or prior precedents.
  • Reads and screens incoming correspondence and reports making preliminary assessments of the importance of materials and organizing documents; handles some matters personally, forwarding appropriate material to SVP and/or staff.
  • Supports the planning and implementation of HR activities including salary planning, recruitment, succession development planning, performance reviews, etc.
  • Provides a professional interface with the Board of Directors, customers and other external and internal people on a variety of written or personal interactions.
  • Has the judgment and knowledge to know when to escalate urgent issues, when to handle in the normal course of business and when issues can be better handled by more junior staff or by themselves.
  • Provides a variety of administrative functions including; coordinates off-site events and itineraries, prepares expense & reconciliation reports, time entry, manages SVPs files, arranges meetings; prepares and distributes agenda and meeting packages and takes meeting minutes and follows up on action items.
  • Maintains a high degree of discretion and confidentiality; ability to use diplomacy, discretion, and judgment in giving out information and referring callers, yet strives to ensure a friendly, open door policy to the SVP.
  • Organizes, coordinates and makes corporate and social events happen. This includes a familiarity with local events, restaurants, venues and activities.
  • Codes and tracks department costs.
Qualifications
  • College diploma in legal secretarial or equivalent training/experience.
  • Minimum 7 years in an administrative support or related position, with executive level interaction.
  • Experience in a regulatory environment would be preferable.
  • Previous experience as a Legal Assistant role a strong asset.
  • Proven ability/experience in the above noted responsibilities.
  • Detailed oriented, ability to proof and edit legal documents.
  • Superior organization and priority setting skills, judgment skills, strong work ethic and ability to multi-task.
  • Motivated self-starter with capability to work productively under pressure.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills, professional and positive demeanor.
  • Conceptual and creative problem-solving skills.
  • Excellent MS Office skills; knowledge of standard office equipment and word processing.
  • Proactive, results oriented, and quick learner.
  • Completion of applicable assessments.
  • Effective communication and interpersonal skills to interface with team members and customers to promote positive outcomes.
  • Proven track record of good attendance and performance.
