We have maintained our Platinum membership status since 2008.POSITION SUMMARYReporting to the Fleet Services Manager, the Fleet Administrator is an integral member of the Fleet Team, providing administrative functions such as data management and reporting, maintenance of vehicle and equipment inventory, driver asset management and collaborate with departments.The Fleet Administrator is an organized individual who has a high attention to detail, has good communication skills and is able to work in a fast-paced environment with multiple assignments and tight deadlines.KEY ACCOUNTABILITIES/RESPONSIBILITIESAssist with the ongoing development, implementation and evaluation of current and new Fleet and Equipment practices and processesMonitor administrative compliance to regulations as they relate to vehiclesInterface with users, co-workers, Fleet and warehouse staffEducate employees in regard to expectations of Fleet administration practices and processesAssist Fleet and Equipment manager in conducting regular audits on Fleet and Equipment processesAssist with management and reporting of all data associated with managing Fleet and Equipment including:Annual permitsVehicle registrationsTraffic violationsVehicle accident cost reportingInventory managementUtilization and cost recoveryAssist in the development, review, and administration of equipment recovery ratesAdministration of Fleet and Equipment record keeping and reporting systemsAdministration of the Driver management system and filesCollaborate with payroll in the Administration of Taxable benefits as they relate to personal use of Company vehiclesAdministration of the Fleet Complete vehicle tracking systemAdministration of Inventory management systemReview and code vendor invoicesGenerate purchase requisitionsAdminister fuel cardsGenerate monthly Fleet and Equipment financial reportsCoordinate with the General Accountants to maintain and update vehicle and equipment inventory (additions and disposals)REQUIRED KNOWLEDGE/SKILLS/ABILTIESTo be successful in the role:

  • A strong knowledge and understand of Fleet management processes
  • Ability to navigate Vista (ViewPoint) ERP software
  • Strong Skills with the various parts of Microsoft Office
  • Excellent interpersonal skills
  • Ability to manage multiple assignments with tight timelines
  • Ability to communicate effectively, both verbally and in writing, with internal customers, external service providers, stakeholders and co-workers
  • Excellent organizational skills that demonstrates the ability to resolve conflicting priorities
  • Ability to work independent of direct supervision as well as being part of a team environment
  • Must have the ability to maintain confidential information
