Job Description

America Fujikura Limited (AFL) is looking for YOU, an enthusiastic, customer service minded Front Office Administrator who wants to work in a collaborative, friendly and supportive environment.If you are interested, join our team, and help us to deliver value-added services to AFL, our clients, and our collaborative and dedicated team.HERES THE IMPACT YOU’LL MAKE AND WHAT WE’LL ACCOMPLISH TOGETHER:As a Front Office Administrator, you will work from our headquarter office in Calgary, and are responsible for providing the highest possible standards of client service and satisfaction. As the initial contact person for enquiries, you will be the voice and face of AFL in many instances. Always pleasant and courteous, you will prioritize answering requests appropriately and efficiently, responding to enquiries, and assisting team members, visitors, and stakeholders with their questions – all while maintaining complete confidentiality.Each day, this multi-faceted opportunity will keep you busy with the following value-add activities:

  • Manage front desk and respond to all general enquiries via in-person, phone, email, or Microsoft Teams.
  • Coordinate solutions for day to day asks.
  • Handle mail, inter-office mail, and courier packages ensuring they are delivered to the correct individuals and/or department.
  • Coordinate the purchase of office supplies and ensure they are adequately maintained within office and warehouse including supporting with sourcing products and equipment.
  • Point of contact and responsible for handling vendor services.
  • Arrange for repair and maintenance of office equipment and furniture.
  • Administer security access program including security scan cards for access to AFL’s buildings.
  • Support AFL’s Payroll team with weekly timecard entering and support AFL’s Accounting team with accurate coding of invoices.
  • Support with vacation scheduling.
  • Manage booking of boardrooms/hoteling offices/personal offices including ensuring office environment and boardroom(s), are maintained to a professional and cleanliness standard.
  • Assist with filing of field paperwork.
  • Support event management.
  • Provide administrative support with travel management and related activities where required.
  • Assist Environment, Health and Safety (EHS) team with administrative tasks such as:
    • Production of Health and Safety Manuals, and maintenance of first aid and safety kits, and Safety Data Sheet book
    • Editing documents, printing, binding, and mailing out to all offices throughout the province
    • Producing documents for Health and Safety meetings
    • Conducting monthly building inspections followed by a report of the findings
    • Completing reports for any emergency or non-emergency situations
    • Track and monitor visitor daily signing sheet
    • Track and monitor personal protective equipment (PPE) supplies
QUALIFICATIONS
  • 1+ years’ experience in the coordination of office services
  • Strong interpersonal skills including written and verbal communication
  • Demonstrated customer service skills
  • Strong organizational, prioritization and multitasking skills
  • Intermediate knowledge of MS Office applications including Word, Excel, Outlook and PowerPoint
Work Location, Condition, and Work Hours:
  • Work from AFL headquarter office in Calgary, AB
  • Normal office environment
  • Minimal travel may be required
  • General hours of Monday through Friday 7:30am to 4:00pm. Occasional weekend or longer hours.
