Mount Royal has carved out a distinct niche by offering smaller class sizes, a robust liberal education and unique undergraduate programs. Currently, more than 15,000 credit students choose from 13 bachelor degrees and 38 majors.Mount Royal University is located in the traditional territories of the Niitsitapi (Blackfoot) and the people of the Treaty 7 region in southern Alberta, which includes the Siksika, the Piikani, the Kainai, the Tsuutina and the Iyarhe Nakoda. We are situated on land where the Bow River meets the Elbow River. The traditional Blackfoot name of this place is "Mohkinstsis," which we now call the city of Calgary. We began our last $250 million transformative campaign as a college, but we finished it as a university. The new strategic plan for the University places a priority focus on fundraising, and sets very ambitious targets to triple the total value of scholarships available to students, more than double the size of the endowment portfolio, and increase alumni philanthropy exponentially in the coming years. A new and exciting campus master plan will guide the construction of new facilities on campus for the next 20 years.About the RoleThe Fund Development Coordinator provides support to the Development Office. The primary role of this position is to support fund development activities of major gift officers, and the AVP (when required). This includes preparation of team reports, support of special event logistics, coordination of fund development meetings, and general administrative support to the department.ResponsibilitiesMajor Gift Officers (50%):

  • Coordination of Fund Development Team meetings, including technical set up, agenda creation and distribution, taking minutes, following up on action items, refreshments, managing guests
  • Supporting the Development Officers in creating Donor related documentation & communications, including proposal preparation (which may include editing, formatting, compiling content, sourcing images, creating graphics)
  • Assistance with Donor meetings preparation & maintaining inventory of donor engagement supplies/collateral
  • General administrative support to the major gifts development team
  • Maintenance and updates of donor records in Development Database (Raiser’s Edge NXT) and digital files
  • Providing backup to the Executive Assistant to the AVP when required
  • Support Development Officer-led strategy in all stages of donor cultivation cycle - Qualification, Cultivation, Solicitation, Stewardship
  • Developing donor profile information from publicly available online sources and Development database to support qualification and engagement strategies, and preparation of briefing notes for donor meetings and events
  • Organizing and securing key meetings with high-level internal and external stakeholders. This may include the creation of briefing notes and presentations
  • Support Foundation staff in efforts to engage prospects throughout the development cycle, including requesting and analyzing research, contributing to prospect/donor cultivation strategies, supporting the preparation of proposals, grant applications, gift agreements, terms of reference, and gift designation forms
  • Provide support for prospect/donor-related activities, events, on-campus tours, etc.
  • Support team in all aspects of prospect/donor meetings, including securing key meetings with high-level internal and external stakeholders [redundant to bullet above re: organizing meetings Or merge the two bullets into one]
  • Draft required communications
  • Record actions, contact reports, event-related data, etc. in Raiser’s Edge NXT
Associate Vice President Support (10%):
  • Associate Vice President, Development / Executive Director MRU Foundation
  • Assist with preparation of team performance reports
  • Document updates to Department procedures
  • Administer and/or take minutes for internal team meetings
General Administrative Support ( 30%):
  • Events, Stewardship and Administrative Support
  • Support logistics, financial and administrative needs
  • Event management support, including invitation lists, RSVPs, and day-of needs
  • Manage Department expense, purchase cards reports, donation and cash handling
  • Support major gift officers with customized stewardship reports, including formatting reports and proposals for presentation to donors
  • Supporting the portfolio of the Donor Relations Team, including thank you letters as well as the execution of donor recognition events, naming dedications launches of initiatives, recording acknowledgements and uploading documents into the database, and supporting the preparation of stewardship materials
  • Other general office tasks if needed
Data and File management (10%):
  • Manage and organize the structure of shared digital files/drives (primarily Google Drive)
  • Take a lead responsibility on maintaining and updating the list of funding priorities for the major gifts team, with guidance from Major Gift team.
  • Input Actions from team briefings, contact notes, gift agreements, etc. into the Raiser’s Edge database in appropriate fields
  • Extract relevant information from contact reports to create and update Actions.
  • Maintain up-to-date documentation on prospect and donor record, ensuring that it is comprehensive, current and user-friendly, including managing and updating all biographical information
  • Representative of the Data Integrity Group with Advancement Services on behalf of the Major Gift team
Other duties as assigned.Qualifications
  • Two-Year Diploma/ Certificate from a University or Equivalent
  • 5-8 years of experience in a relevant position
  • Skilled in the use of Microsoft Office products (Word, Excel, etc) and knowledge/experience in CRM (helpful if in Raiser’s Edge NXT) or similar software strongly preferred
  • Ability to multi-task and follow projects through to completion
  • Proven tact and diplomacy through negotiation and verbal communication, including dealing appropriately with confidential and sensitive information around donors and donor strategies
  • Demonstrates proactivity with tasks, and an ability to anticipate the needs of the Development team
  • Ability to be comfortable and productive in a fluid work environment, relating to the often-shifting priorities and deadline pressures associated with effective major-gift fundraising
  • Ability to operate effectively in a post-secondary institution environment where policies, procedures, accuracy and tact are important considerations, and our work is frequently viewed by donors and other members of the public, with potential for reputational risk and negative financial outcomes around sub-par work
