Job Description

The Calgary Drop-In Centre (the DI) is more than emergency shelter. We provide emergency shelter, health services and housing programs to people who need support. Our programs and services connect people to permanent housing that meets their individual needs. Rooted in community and fueled by kindness, the DI proudly serves as part of the Homeless-Serving System of Care.The DI has implemented a COVID-19 Immunization Policy. You must be able to provide proof of full vaccination in order to be an employee of the DI. Full vaccination means you will need to have received two doses of Moderna, Pfizer, or AstraZeneca, or one dose of Janssen and have cleared the 14-day waiting period since your last vaccine. Some people have received two different vaccines, such as AstraZeneca and Moderna, and these people are also considered fully vaccinated.This is a one year contract position with a possibility of extensionPosition SummaryReporting to the Manager, Marketing and Communications, and working closely with both the Communications department and other departments as needed, the Internal Communications Specialist will be responsible for upgrading the existing intranet, coordinating all communication announcements, all- staff newsletters, intranet stories, and other types of memos for all staff. With specific focus on refreshing and refining the agency’s internal communications techniques, this role is highly collaborative and requires input from departments across the agency. The Internal Communications Specialist will also lead alongside the Manager, Marketing and Communications and others as needed to create and rollout a new Internal Communications Framework, and identify the gaps created by COVID-19 and work towards stronger unity within the DI. Additional tasks will include intranet document management, policy and procedure document control, as well as other intranet and staff training needs, and others not yet specifiedResponsibilitiesIntranet & Document Management (40%)

  • Responsible for auditing and maintaining the intranet site with support from the communications team as required
  • Will be a key player in refreshing the existing intranet site to be more user-friendly
  • Oversees and tracks all intranet documents on the intranet server that could be viewed by all- staff, including but not limited to policies and procedures, branding toolkits, and employee information documents
  • Supports Employee Services with regular audits, maintenance, and communication of employee policy documents, updates to staff focused information such
  • Works with leaders to harmonize staff communication processes and build collaboration between staff initiatives
All-Staff Communication (40%)
  • Co-create an Internal Communications Framework for all-staff communication including but not limited to newsletters, environmental print, handbooks
  • Calibrates internal standards for staff focused communication such as training decks, videos, updates, memos, handouts
  • Coordinates all content and writes regular newsletters, including rebranding a revised #OneDI newsletter, issued by the Executive Director
  • Responsible for rolling out relevant information regarding the Strategic Plan and other staff initiatives such
  • Working directly with the Executive Director’s office and the Manager, Communications and Marketing, including supporting any potential Town Hall events
  • Supports all-staff engagement activities, events, campaigns, and initiatives (eg. Mental Health & Wellness and/or Diversity & Inclusion)
  • Researches and shares relevant media stories, blogs, Homeless Hub studies that are in alignment with the Agency’s mission
COVID-19 Response (10%)
  • As needed, supports the leadership team and Health Services department in dispersing information related to COVID-19, the vaccines, and the DI’s associated activities, procedures, and more
  • Activities will include daily/weekly updates as required, curate and maintain intranet pages with updated data and resources, coordinating the creation of physical or digital materials with the support of the Marketing & Communications department, updating the DI’s COVID-19 blog with updates, supports media relations with updated information about the DI’s COVID-19 responses, other tasks not yet specified
  • Other tasks as needed, including but not necessarily support with grant writing, will arise over the course of the contract, accounting for the final 10%.
Required Competencies
  • Post-secondary education in Communications, Business Administration, or related discipline
  • Minimum two years working in a Communications setting. Internal communications specifically is an asset
  • Related experience and a proven record of success, preferably in non-profit environment during COVID-19
  • Proven skills and experience managing relationships
  • Able to lead working committees
  • Self-directed and action-oriented, with effective time management and organizational skills including the ability to deal with multiple priorities at the same time
  • Excellent communications skills, both verbal and written
  • Proficient in Office365 (specifically with Microsoft Sharepoint, although other tools as required), Microsoft Office Suite, and WordPress
