Job Description

Position OverviewThe Faculty of Graduate Studies is currently seeking a Full-time Limited Term (Project) Lead, Change Readiness & Adoption, Graduate Student Journey Transformation for approximately 16-17 months.The Faculty of Graduate Studies (FGS) is the home faculty for approximately 8000 graduate students registered in over 70 graduate programs across the University of Calgary and is a key service and resource hub for all aspects of the graduate student experience from application to convocation. FGS works in close partnership with graduate education leaders, faculty, and staff from the teaching faculties and central student service units to deliver world-class graduate education and a positive well-rounded student experience.In support of the Framework for Growth vision to grow the graduate student population to 10,000, and the Strong Foundations Plan focus on building strong people, processes, and systems, the aim of UCalgarys Graduate Student Journey Transformation initiative is to enhance the end-to-end graduate student experience across all units. The FGS Process and Systems Optimization (PaSO) project is focused on transforming the common processes, workflows and technical solutions involved in managing the graduate student lifecycle to deliver an optimal experience at all stages of the student journey.Reporting to the Manager, Graduate Student Journey Transformation, this position has accountability for planning and delivery of a broad portfolio of change management activities in collaboration with unit leaders and the PaSO Project Team. The Lead will play a hands-on role in all change activities including stakeholder assessment and engagement, change impact and gap assessment, change readiness and sustainment plans, as well as planning, preparing, and delivering communications and training across multiple initiatives.Position DescriptionSummary of Key Responsibilities (job functions include but are not limited to):Change Leadership and Management

  • Works with the Senior Change Management Consultant to refine the PaSO change management strategy and roadmap and ensure it incorporates and informs new initiatives.
  • Performs complete start to close-out transformation and change activities including stakeholder assessment and engagement, impact and gap assessment, training needs assessment, communication and engagement plans and tactics, readiness and sustainment plans, risk and mitigation strategies, and adoption assessments.
  • Generates original ideas, formulates change strategies, and develops innovative solutions based on a broad knowledge of change management methodologies and techniques.
  • Works closely with the Project Team to integrate change activities into project plans, while aligning on scope, deliverables, and change expectations. Uses informal peer coaching to build change management awareness and mindset.
  • At the appropriate time for each change, initiates and facilitates completion of the four stage Change Playbook methodology.
  • Analyzes change adoption issues in a systematic way to identify underlying barriers or issues impacting change adoption. Recommends and engages in a range of approaches to generate possible resolutions and holistic solutions.
  • In collaboration with the Senior Change Management Consultant, develops and/or delivers presentations, training and information sessions to leaders and staff on change management methodology, use of tools, performance metrics, dashboards and templates in order to build awareness, capability and capacity regarding transformation and change management.
  • Creates clarity regarding change objectives and desired benefits in conjunction with leadership.
  • Supports the project team to develop stakeholder/ and partner outreach and engagement efforts to obtain awareness, understanding, buy-in, and support.
Communications
  • Develops detailed and comprehensive communication strategies, recommendations and plans to support optimum engagement, implementation, and transition sequencing, including leadership engagement and alignment. Ensures alignment with FGS overall communications plans and strategies.
  • Produces communication and engagement materials to support implementation plans, engage stakeholders and position the organization for successful change.
  • Prepares, writes, and adapts copy in a simple, engaging manner across multiple formats and channels: written copy, posters, presentations, websites.
  • May be required to prepare key stakeholders to present organizational change management (OCM) deliverables such as communications and presentations or training.
Training
  • Develops standard training methodologies and templates that can be deployed across multiple initiatives according to training needs.
  • Supports project knowledge transfer activities with subject matter experts (SMEs) and leadership working group
  • Assesses training needs in conjunction with Project Team and working groups and develops a training strategy for each initiative.
  • Develops training plans and materials in collaboration with subject matter experts.
  • Develops and delivers training sessions in collaboration with subject matter experts.
  • Evaluates and reports back on the success of training initiatives using surveys and change adoption metrics.
  • Develops related sustainment training strategy including onboarding, refresh, and enhancement training.
  • Stores and maintains project documentation and training materials in official repositories.
Change Evaluation
  • Designs and administers post-implementation surveys to evaluate the success of training and roll out activities as well as the benefits of specific changes.
  • Supports the development, use, and communication of performance metrics to define, measure and report to leaders and stakeholders on the progress and success of the change.
  • Continuously assesses potential issues/risks, conflicting priorities, and opportunities for integration across multiple concurrent programs/initiatives and raises these to leadership.
  • Monitors change adoption in the organization and plans additional change activities to support gaps in adoption or continued realization of change benefits.
Qualifications / Requirements:
  • A minimum of an undergraduate degree in a related field. Masters degree is an asset.
  • Degree/diploma in Adult Learning, Education, Instructional Design is an asset.
  • 5+ years experience in the planning and execution of strategic change efforts in support of organization and cultural change, preferably within a complex project portfolio, with responsibility for both leading and implementing change activities according to tight deadlines and with a high standard quality of work.
  • Demonstrated knowledge of the operating procedures and systems used by the University of Calgary and the Faculty of Graduate Studies, and/or in post-secondary education generally, as well as knowledge and understanding of the student lifecycle and the policies, processes, and procedures of various units within the university as they connect to the graduate student journey is an asset.
  • Change management strategy and oversight: Experience with organizational change management principles, methodologies, and tools. Experience creating and executing on organizational change management plans and materials, ideally supporting efforts that affect broad cross-sections of stakeholders. Experience providing change management support at various stages of the project lifecycle and supporting multiple concurrent initiatives within enterprise-level programs.
  • Training: Experience developing training plans, designing training materials, and delivering training is essential. Ability to develop job-aids, online and eLearning materials, and facilitate a train-the-trainer approach are significant assets.
  • Communication: A confident facilitator with ability to effectively communicate and present complex concepts with messaging tailored to the audience, and ability to support shared understanding between business & technology teams. Ability to develop and execute on communications plans, including designing and writing content for websites, emails, newsletters and presentations.
  • Stakeholder engagement and relationship building: Demonstrated experience working collaboratively with business and technology partners across organizational levels. Ability to promote teamwork, collaboration, and partnership and build alignment and buy-in. Ability to determine appropriate stakeholders and level of decision making and communicate appropriately while recommending key points of view.
  • Leadership: Demonstrated leadership skills and communication/conflict management skills in a fast-paced, complex work environment. Must be a positive, collaborative, and supportive leader, able to organize and build consensus and alignment with others. Demonstrated ability to achieve excellence in individual performance while being a team-player focused on working with others to achieve team goals.
  • Critical thinking and problem-solving: Demonstrated analytical abilities and experience bringing an operational perspective to solving problems with the ability to challenge the business to think creatively and consider new ideas. The ability to anticipate the short and long-term impact of decisions and take a broad approach to problem solving. Able to adapt to unique cultures and practices within stakeholder groups in developing strategies and solutions.
  • Technical: Demonstrated ability to leverage technology to support service delivery. Advanced-level user of MS Office Suite (PowerPoint, Excel, Word, SharePoint, Teams). Strong working knowledge of technology, technical projects, deployments, testing strategy and execution, is an asset.
  • Formal training/certification in Change Management (Prosci) is preferred as is familiarity with project management principles, methodologies, and tools. Training and/or experience in Business Analysis, Lean Six Sigma, and other relevant domains is an asset. Knowledge of Oracle (PeopleSoft) enterprise system and especially Campus Solutions is a significant asset.
  • Experience with digital media production and eLearning tools such as Techsmith SnagIt and Camtasia (or Adobe Premiere/After Effects), photo editing software, and Articulate 360 Rise to produce a rich multi-modal learning experience.
