Job Description

The Learner and Academic Services (LAS) department’s role in student success is to create a culture and environment that unleashes the full potential of all the students at SAIT. Our primary goal is to support the Education Plan, and a Student-First Culture, by focusing on student success and mobilizing all campus community members in this shared goal.The OpportunityLearner Services’ (LS) role in student success is to create a culture and environment that unleashes the full potential of all the students at SAIT. LS is comprised of a variety of service units that are designed to help learners reach their full academic potential and foster lifelong learning.Reporting to the Manager, Career Advancement Services, the Learner Services Admin will provide a variety of administrative support to the LS leadership team and their units including Career Advancement Services, LAMB Learner Success Centre, Student Development and Counselling, Student Engagement, Study Abroad, Chinook Lodge, and Youth Initiatives. This is one of two centralized administrative assistant positions who will work closely to ensure that priority tasks and cover-off are completed in a timely and efficient manner.The RoleThe Incumbent works closely with the leadership teams within Learner Services to provide administrative support to ensure smooth office operations and support the implementation of projects and activitiesAssist students with booking appointments with Career Advisors, Academic Coaches, Accessibility Advisors and Counsellors and provide additional information about the student supports and resources availableAssist employers in setting up accounts in My Career Hub, posting jobs and registering for recruitment events. This includes working with CAs (Career Advisors) and the relevant schools to set up employer networking and recruitment eventsMay be required to organize meetings, coordinate communications, arrange travel for Study Abroad participants, prepare documents and reports, coordinate administrative processes, and maintain and update tracking spreadsheetsMake purchases and process payments through Banner requisitions, and assist with budget tracking ensuring that monthly, quarterly and year end timelines are metAct as the Department Accounts Representative (DAR), and assist with employee computer accounts setup, access requests, and onboardingOffice reception - provide internal (students, staff and alumni) and external (industry and employers) stakeholders exceptional service by providing timely responses to inquiries in person, over the phone and via emailProvide cover off (lunch coverage, vacation coverage etc.) for the Student Development and Counselling admin as required, including a requirement to work 11:15 AM to 7:15PM on the third Thursday of each monthExcellence in customer service, problem solving and responding efficiently and timely to requests is a key factor in being successful in this roleA strong planner who is able to anticipate the team’s needs. Demonstrates level-headedness and rational thinking when under pressure and brings the calm and support need in a fast and high performing environmentQualifications & ExperienceBusiness Administration Management Diploma or higher, or related educationMinimum of 3 years’ experience in an administrative roleExperience in post-secondary or adult education would be an assetKnowledge and SkillsExcellent verbal and written communication skillsFlexibility and adaptability are crucial (ability to deal with changes on short notice)Computer software skills (MS Office, MS Word, Excel, PowerPoint, outlook) MS Suite and Collaboration Tools (Teams, Sharepoint), typing speed and accuracy (50 WPM)SAIT BANNER SystemOrbis/My Career HubAbility to communicate with different types of people with professionalism and empathyProblem solving, conflict resolution skillsTime management and organizational skillsThorough knowledge of SAIT policies and proceduresAbility to maintain a positive outlook while working under pressureAbide by strict confidentiality and not acknowledging students who use multiple services within LS such as counselling, tutoring and financial aidWorking ConditionsInitially the successful candidate will be required to work in person on campus in a full time capacity, which may later change to a hybrid capacityLifting, carrying and transporting items such as boxes of learning modules for students or supplies for instructor may be required.
