Job Description

We are looking for a skilled OFFICE ADMINISTRATOR to join our team!***IMPORTANT NOTE: This position is at OUR LOCATION IN CALGARY, ALBERTA.APPLICATIONS FROM CALGARY, ALBERTA ONLY PLEASE.Domaine is a small, close family-owned and operated business established in 2008. Family, integrity, and hard-working values are woven into all that we do.This position requires a high level of collaboration, effective communication, efficiency, and problem-solving skills.You will be working closely with management and accounting departments. Additionally, you will be closely supporting our interior design sales team.Job Tasks and Responsibilities include:

  • Provide front line customer service support for incoming phone calls and email inquiries to the showroom. Directing these calls and inquiries to the appropriate team member.
  • Ensure the showroom clean. Assist in supervising and delegating showroom maintenance and cleaning tasks to entire team on biweekly basis. Stocking bathrooms with necessary supplies.
  • Ordering any necessary cleaning and office supplies.
  • Manage mail room including organizing and filing paperwork including purchase orders, claims, order acknowledgements, invoices, freight notices and any courier services etc.
  • Consistent communication with our vendors regarding orders being processed, status of orders and shipping arrangements. Providing accurate updates to our interior design sales team, and to customers should they inquire directly.
  • Knowledge of logistics processes is an asset. Approving and coordinating freight and shipping of orders to our warehouse, alongside our accountant. (Within Canada & US, as well as international)
  • Acquiring quotes and arranging white glove or drop ship furniture deliveries and installations with our delivery partners.
  • Collecting customer balances and entering cash into our database
  • Vendor claims support alongside our management and warehouse lead. Assist in scheduling of product service calls with our local repair partners or ordering replacement parts or pieces to resolve current issues.
  • Working closely with our warehouse team, understanding what tasks they are working through on a daily and weekly basis
  • Purchase order entry and inventory management.
  • Inventory Pricing maintenance: processing new price lists, updating sales data base and ensuring all floor stock is tagged properly.
  • Ecommerce and Website support alongside our Marketing coordinator. Shopify experience is an asset but not required. Updating and adding to our current website: adding pricing, imagery and product descriptions as required
  • Email Blast support. Updating mailing list information as needed.
Essential skill sets
  • Strong computer skills: understanding of Microsoft Office Suite, Excel, Power Point
Education and Experience Required:
  • Diploma, certificate program or university-level degree in related field of office administration
  • Minimum of 2 years of experience
Pay and Benefits:
  • Hourly wage plus annual bonus awarded based on work performance and overall annual sales targets of the company
  • 1 week paid time off during Christmas break upon completion of 6 months of work
