Title: Operations LeadHours of Work: Full Time (37.5 hours per week)This is a limited term position of 1 year to cover a parental leave starting in September 2022.Compensation: NHA offers a competitive salary, flexible work environment, an incredible culture, benefits, and generous time off. We are seeking a passionate and experienced individual to act as Operations Lead for a limited term of 1 year (parental leave coverage).About the RolePrimary Responsibilities:Reporting to the Chief Executive Officer, the Operations Lead works closely with the Asset Maintenance Lead to provide leadership of a highly skilled operational team of 5 in ensuring efficient and sustainable operations across 6 multi-residential properties.This role will be responsible for achieving excellence in financial, human resources, programming, facility management, and ensuring that each aspect supports the organization’s values and enhances NHA’s ability to achieve its overall vision and mission.Specifically, the Operations Lead is responsible for the following:

  • Facility Management
    • Work closely with operational team to ensure facilities are compliant with all relevant codes, bylaws, legislation, standards, and operating agreements.
    • Work closely with Asset Maintenance Lead to support the implementation of preventative measures, ongoing maintenance, and capital projects to ensure the operational integrity of all NHA buildings.
    • Provide assurance to the CEO that facilities are meeting the needs of the organization’s clients and community.
  • In conjunction with the CEO and Asset Lead, ensure that operational staff receives training and education related to facility management which includes, but is not limited to, emergency response, health and safety, and on-call maintenance.
    • Assist in the coordination, management, review, and ensure compliance of policies related to operational, maintenance and administrative contracts/ agreements.
    • Work with Asset Lead to provide quarterly reports and recommendations to the CEO on facility condition and needed updates.
    • Other related projects as necessary.
  • Financial Management & Reporting
    • Support the CEO in preparation of annual operating and capital budgets.
    • Ensure financial processes, procedures, and internal controls are in place, current, and adhered to.
    • Maintain and update policies and procedures related to financial controls and processes.
    • Collaborate with the bookkeeping and accounting team to process accounts payable, receivable, rent roll management, and preparation of quarterly financial reports.
    • Support the CEO with the annual audit process.
    • Work closely with operations team to ensure adherence to revenue and expense projections.
  • Human Resources
    • Maintain employee policies, procedures and ensure adherence to federal and provincial legislative requirements.
    • Maintain accurate and updated personnel records.
    • Assist the CEO in performance management and coaching of operational team.
    • Aid in the development and implementation of recruitment, screening, and onboarding strategies for operational roles.
    • Provide expertise and insight into the development and implementation of employee engagement strategies.
    • Work with CEO to update compensation and benefit packages and salary bands to meet organizational goals to remain competitive, transparent, and equitable.
    • Coordinate and track vacation and other leave requests.
    • Assist the CEO in rolling out of annual staff survey.
    • Assist NHA staff in coordination of training grants.
  • Leadership & Stakeholder Communication
    • Work in collaboration with CEO, operations staff, and partners to accomplish strategic objectives.
    • Encourage and facilitate team building through open communication and positive working relationships among staff and management.
    • Demonstrate empathy, compassion, and inclusive leadership focused on organizational values and vision to be the standard of community housing delivery.
    • Work closely with communications consultant to promote resident events, communications, and dissemination of key messages to relevant stakeholder groups.
    • Create a sense of fun and ensure open and transparent dialogue between staff, board, and residents.
  • Program Management & Service Delivery
    • Facilitate the implementation and evaluation of organizational programs geared towards existing residents.
    • Provide oversight and ensure NHA programs and services meet organizational policies, operating agreements, and relevant legislation.
    • Coordinate the delivery of high quality, professional property management services.
    • Ensure appropriate property management and program policies are in place and adhered to.
    • Provide CEO with recommendations and quarterly reports on service and program delivery key performance indicators.
    • Lead the quarterly Community Advisory Group (CAG) meetings with residents and provide valued insight and reporting to CEO on CAG activities.
    • Other projects as necessary.
Qualifications & Experience:The successful candidate will possess the following qualifications and core competencies:
  • Post-secondary degree in business, administration, finance, or a related field.
  • Minimum of 5 years of professional experience managing multiple administrative functions, particularly in areas of Finance, Human Resources, and Facility Management.
  • A balance of business acumen and social conscience regarding accessibility for those in need of quality, affordable homes.
  • Demonstrated fiscal management, budgeting, financial reporting, and audit process knowledge.
  • Demonstrated aptitude for creating a positive, fun, and inclusive work environment focused on encouraging innovation, accountability, and respect for the individual.
  • Excellent verbal and written communications skills.
  • A self-starter with a high degree of accountability.
  • Capacity for analytic and strategic thinking.
  • High degree of emotional intelligence and awareness of environmental nuances as they impact the organization and stakeholders.
