Job Description

Accounts Payable & Payroll Specialist in Project management/ Construction Manufacturing setup.PAYROLL

  • Processes bi-weekly salary and hourly payroll for all of MCI Employees in a Project/ construction/ manufacturing setup.
  • Review timesheets and audit data to ensure compliance with collective agreement, company policies and employment standards.
  • Complete all payroll-related functions, including coordinating timely transmission of all standard and non-standard payments.
  • Keeping taxable benefit calculations up to date in Sage payroll system and ensuring they agree to benefits reconciliation.
  • Act as the Canadian Payroll Subject Matter Expert, responding to inquiries from management and employees and providing guidance and recommendations.
  • Work closely with the People and Culture team to ensure all employee payroll information is correct and up to date (increment increases, retroactive pay, pay adjustments, etc.).
  • Ensure employee confidence by protecting payroll operations and confidential information.
  • Supports all internal and external audit requirements, assists with year-end balancing and reporting.
  • Maintains privacy and confidentiality per the Freedom of Information and Protection of Privacy Act (FOIP).
SKILLs Required in Payroll
  • At least 2 years Intermediate knowledge of Sage payroll/time tracking systems is required.
  • Intermediate MS Word, Excel, and Outlook™ is required.
  • In depth knowledge of Alberta Employment Standards.
  • Strong organizational and analytical skills and the ability to multi-task to meet strict deadlines while maintaining attention to detail and high level of accuracy.
  • Demonstrates self-motivation, confidence, discretion, and good judgement.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and cooperatively as a member of the team through personal behavior, work contribution, and sharing of experience and knowledge
PAYABLES
  • Familiar with Project Management Accounts Payable process
  • Reviewing, sorting, organizing and matching invoices for payment
  • Obtaining and monitoring invoices for approval
  • Entering A/P invoices/credit notes and matching invoices to purchase orders
  • Checking for accuracy, supporting documents and approval of all A/P entries
  • Responding to supplier and/or purchaser concerns in a timely and courteous manner.
  • Verifying vendor accounts by reconciling monthly statements and related transactions
  • Differences between the purchase order and the invoice are flagged, researched, and resolved prior to entry
  • Reconciling and reporting account discrepancies by investigating documentation; implementing required corrections, preparing, and entering adjustments as necessary
  • Provide input and demonstrate initiative to contribute to the Accounts Payable functions
  • Month end duties and ad hoc projects as required
  • Creation of documentation for processes within the position
SKILLS required in Accounts Payable
  • Extensive knowledge and training in Project management Accounts Payable.
  • Strong organizational & communication skills and an ability to manage multiple projects simultaneously with interruptions and without sacrificing accuracy and attention to detail
  • Experience with computerized accounting systems and other programs, including word processing and spreadsheets, preferably Windows
  • Fluency in the use of Sage Accounting software and other Project management ERP systems an asset
