Job Description

The Calgary Drop-In Centre (the DI) is more than emergency shelter. We provide essential care as well as health services, and housing supports to people who need help. Our programs and services connect people to permanent housing that meets their individual needs. Rooted in community and fueled by kindness, the DI proudly serves as part of the Homeless-Serving System of Care.Position SummaryReporting to the Senior Manager of Human Resources, the Payroll & Benefits Coordinator will manage the payroll processing and benefits administration for the DI. This position will be responsible for building an employee-centric and service-oriented culture in payroll & benefits team, that provides employees with the information they need in a timely manner. This role provides functional leadership to the payroll & benefits coordinator regarding the support of payroll and benefits functions.The successful candidate will participate in, and take various roles in process improvements, projects, and special initiatives and possess a fundamental understanding of payroll and benefits administrationTime Commitment8 hours per rotation with 5 days on and 2 days off. You may be required from time to time to work outside these hours as the need arises. Schedule may be altered at the discretion of management.Job Duties

  • Manage the full cycle payroll activities, including entering new hires in Dayforce, administering benefits, processing employee changes, T4’s, etc.
  • Process employee terminations, including confirming accuracy of dates and reason for termination, entering the termination into the payroll system, processing final pay and calculation of all outstanding payments
  • Ensure the timely processing of semi-monthly payroll for the Agency, analyze variances and share insights with leaders
  • Create and maintain employee electronic and paper files on a per pay basis
  • Liaise with Managers and HR team to ensure employee data is up to date and accurate; Facilitate communication of important information to affected groups/individuals
  • Answer all payroll related inquiries from employees, management, government, and legal entities in a timely manner; escalate complex inquiries as required
  • Initiates communication with Agency leaders regarding payroll deadlines and issue resolution
  • Set up, documentation and cross-training of payroll processes and procedures
  • Ensures accurate accounting and reporting on all payroll related data to Finance
  • Create payroll data variance report in each pay period and month over month to aid leaders in analysing financial results and trends
  • Manage the payroll inbox to ensure that employee concerns and issues are responded to in a timely manner while investigating the root cause of issues to ensure they don’t recur
  • Oversee daily operation of the Dayforce HRIS system including the building and ongoing maintenance of confidential payroll records ensuring completeness and accuracy.
  • Identify process improvement initiatives and work with the team to develop, document and implement new payroll and benefits procedures in alignment with Dayforce.
  • Ensure prompt onboarding and offboarding of employees from benefits plans, perform monthly reconciliation of group benefits data, including but not limited to medical/dental benefits, RRSP, Critical Illness, etc.
  • Manage the end-to-end benefits processes for the DI
  • Create and manage annual calendar of payroll activities including but not limited to: T4 cycle, annual comp analysis, audit of benefits enrollment, WCB reporting
  • Annual preparation of T4 reporting requirements for the Agency
  • Prepare Record of Employment, and submit to Service Canada
  • Ensure compliance with federal, provincial, and local payroll, wage, and hour laws and best practices
Required Competencies
  • A degree or diploma in Business Administration or Accounting would be considered an asset
  • Payroll Compliance Practitioner (PCP) certification is required
  • Certified Payroll Manager (CPM) designation is an asset
  • Minimum 8+ years of payroll experience
  • Ceridian Dayforce experience is considered a strong asset
  • 5-7 years experience in processing, validating, and committing payroll runs in Dayforce or a similar payroll software platform is required
  • Experience in setting up and managing an annual payroll tasks calendar ensuring all required timelines are met weekly, monthly, quarterly and annually
  • Ability to understand employee payroll & benefit issues and communicate solutions effectively, professionally, and respectfully
  • Excellent customer service skills (internal and external), written and verbal communication skills
  • Experience with a 24/7 operation which requires payroll for both hourly (casual) and salaried employees is a definite asset
  • Energetic and self-directed, with effective time management and organizational skills including the ability to deal with several priorities at the same time
  • Strong strategically focused analytical skills, good common sense; and capacity to provide leadership (direct and indirect)
  • Well-developed interpersonal and conflict resolution skills
  • Strong problem-solving skills and the ability to improve projects, programs, and processes
  • Proficient in Office365 and Microsoft Office Suite and report writing
  • Demonstrate essential desktop troubleshooting skills
  • Eager to learn new systems and adopt improved best practices
  • Must demonstrate initiative and work autonomously
