The TeamNorton Rose Fulbright Canada is committed to further developing its Professional Procurement Capability in conjunction with existing Vendor, Financial and Software Management functions. The focus of the individual will be providing administrative support and maintaining inventory and purchase records throughout the procurement process including routine sourcing efforts and the reconciliation of supplier invoices where necessary.Job OverviewThis position will be responsible for the administrative details of our procurement efforts, including maintaining the contract and asset databases for our Canadian business services group. This person will work closely with the Director of Office Services & Facilities and our Procurement Manager at Norton Rose Fulbright Canada. You will be responsible for routine sourcing efforts, maintaining procurement related databases, providing navigational support of our PO/Invoice system and assisting with supplier due diligence efforts and RFP analysis when required. Additionally, this role will be responsible for providing administrative support to the Director of Office Services & Facilities as well as submitting our annual insurance documentation and assisting with the processing of claims as may be assigned from time-to-time.This role can reside anywhere in Canada and will be largely remote.The candidate must be a people person and a self-starter who can demonstrate that they are proactive with a terrific degree of flexibility and creativity in a fast paced and challenging environment. Duties, responsibilities and activities may change at any time with or without notice.Maintain all procurement related records and databases including, but not limited to, the contract and asset databasesAssist with the reconciliation of PO and Invoices where necessary; specifically handling exceptions outside of the PO process and/or systemsAssist with the reconciliation of our P-Card and Central Air Billing accounts via CentresuiteServe as the main point of contact for navigational assistance and buyer onboarding for our PO systemAdminister our online booking travel tool (Concur); setting up profiles and providing navigational assistance as required.Participate in routine sourcing efforts as assigned by the Procurement Manager (e.g. sourcing of small custom orders, specialty items, office-specific goods or services)Assist with due diligence efforts on RFPs or other strategic sourcing efforts as assignedCoordinate with regional procurement contacts as may be appropriate on regional effortsParticipate and contribute to special projects when and where assignedProvide light administrative support to the Director of Office Services & FacilitiesQualifications & Skills Required5+ years' purchasing experience in a related field or other professional services firm. Experience with IT procurement and/or travel products are preferred.Sold grasp of purchasing terminology, practices, and procedures. Electronic Order-to-Pay experience is preferred but not requiredPerform tasks with high degree of accuracy (attention to detail is critical requirement). Experience with Access and Service Now databases are preferredStrong numeracy and budgeting skillsProven vendor management and relationship skills.
