The primary objective is to ensure that the needs of our internal and external customers are being met through superior customer service. The Receptionist is responsible for providing secretarial, clerical and administrative support to assist with day to day administrative and reception duties and are provided in an effective and efficient manner.Your Key DeliverablesCustomer Service:Oversee front reception and monitor the following activities for customers, including but not limited to:Greet persons entering the building and offering refreshments, if neededContact employee who person is meeting withTake and relay messagesDirect persons to correct destinationDeal with queries from the public and customersEnsure knowledge of staff movements in and out of organizationMonitor visitor access and maintain security awarenessMain Office Phone:Operate switchboard, including:Answer multi-line phones via Microsoft Teams, directing client inquiries and assessing importance, priority of calls, and appropriate action to takeProvide information to callersAdministration:Provide general administrative and clerical support:Process outgoing and incoming mailMonitor and distribute faxesInput and coordinate courier deliveries (local, FedEx & Purolator)Prepare correspondence and documentsReceive and sort all deliveriesEnsure all courier invoices are accurate and uploaded to APR on a timely basis for paymentSupport Office Services team members as neededMaintain boardroom/conference room bookings and setting up for meetings when requiredSchedule appointments and book meeting roomsProcess and code invoicesProvide other secretarial or office administrative support as required, such as photocopying, filing, mail outs, word processing, etc.General Office:Work with building management to track and distribute all building access and parking cardsTrack and order ‘Breakfast Program’ and lunchroom suppliesTrack and order business cards (BRPI) and office stationery (BRPI/BPD)Work with plant maintenance company to ensure lobby plant wall is up to standard as well as watering all other office plants weeklyOffice Appearance:Refill coffee, tea and miscellaneous supplies in kitchen and lobby on an as needed basisMaintain general up-keep of all office common areas, including front reception, copy room, lunchroom and mail room, loading dock and all storage areasMust Haves2+ years of experience working in a front reception or administrative positionA diploma or certificate in office administration from a post-secondary institute would be an assetMust have excellent communication skills and be able to work efficiently within a team environmentMust be responsible, well organized and have a high attention to detailKnowledge of administrative and clerical proceduresKnowledge of computers, Microsoft Teams, Word, PowerPoint and basic ExcelKnowledge of customer service principles and practicesCandidate must be able to take ownership and accountabilityStrong work ethic and a self-starterYour OpportunityWe are proud to offer our employees what they value most:Competitive compensationExcellent extended health benefitsRRSP programGenerous tuition assistance programLeadership development and mentorship programsA culture based on our values of Passion, Integrity and CommunityWe are proud to create a diverse environment and are proud to be an equal opportunity employer.
