Your TeamReporting to the Sales Manager(s), Kerstin MacDonald and Dan Hippe, you play an integral role in managing the sales administration for Brookfield Homes division in Calgary. Your team is accountable to support all sales related documentation, ensure accuracy of data within all sales systems, and actively manage all reporting requirements. As a functional leader, you are a mentor and coach to the Sales Administration team collectively ensuring an efficient and accurate flow of sales documentation, management of customer files and support personnel for both internal and external stakeholders. You have excellent customer experience skills, a drive for efficiency, keen attention to detail and an ability to work collaboratively with a diverse group of individuals. You are a problems solver willing to dive into new challenges to expedite resolutions and support the organization goal of delivering a best in class customer experience for Brookfield homeowners.Your Key DeliverablesOverall supervision, performance and functionality of the sales administration department;Accountable for accuracy of documentation coming from department;Accountable to streamline processes to achieve maximum efficiency and productivity from the team;Lead a division that is the primary contact for the Calgary Sales team in dealing with purchaser inquiries regarding pre-occupancy inspections, closing dates, and statement of adjustments;Liaise with Lawyers and Lenders as required in regards to processing of mortgage applications, transfers of land and closing statements;Prepare all correspondence that is sent to purchasers, lawyers, banks, realtors, etc., and ensure all information is accurate and correct;Responsible for reviewing/adding all customer information regarding sales into Sales Simplicity & Brookfield Lot Management System and Newstar Sales as required;Maintain and administer information within Brookfield Lot Management System and Sales Simplicity;Enter/maintain lot premiums within sales RFP platforms (BMT, Sales Simplicity/Newstar Sales), based on direction from Sales Management / Business Development;Track and maintain all sales Purchase Agreements from agreement acceptance through to agreement firming;Track and distribute all post-sales change orders to appropriate Teams (Sales, Estimating and Accounting);Maintain all sales agreement documents for Purchase Agreements within the sales RFP platforms (BMT, Sales Simplicity / Newstar Sales);Provide the accounting department all relevant information for the preparation of the statements of adjustments, Review and sign off on all customer accounts / final statement of adjustments;Written confirmation of closing dates with purchasers;Prepare Lien letters and all correspondence for customer walk-throughs;Co-ordinate signatures on new home warranty documentation and distribute;Prepare lot grading bylaw letters and ensure customers receive in a timely manner;Responsible for enrolling all single & multi-family homes with the Alberta New Home Warranty program;Prepare and submit daily bank deposits for all Single Family & Multi-Family funds;Prepare all correspondence that is sent to purchasers, lawyers, banks, realtors, etc., and ensure all information is accurate and correct;Review pending sales reporting weekly to ensure agreements are maintained for contract integrity;Generate & review information provided in weekly sales schedules and closing reports;Generate and review lot inventory reporting (quarterly for both single and multi-family assets;Check all statements for accuracy and report any concerns to accounting prior to releasing information to customers; and,Generate and maintain data reports (monthly) to Altus Group for provincial reporting (as required).Must Haves3-5 years' customer service experienceExperience in AdministrationStrong attention to detail and proven accuracy skillsAble to communicate effectively with multiple stakeholders using multiple communication modesProficient in computer systems, database management systems and Microsoft Suite, including Word, Excel, and OutlookProven ability to be a self starter and solution focusedStrong organizational and time management skillsAble to work independently and collaboratively in a fast-paced environmentHigh School DiplomaNice to HavesNew Home Sales experienceWorking with CRM or RFP systemsWorking with contract and legal documentsPast proven leadership experienceYour OpportunityWe are proud to offer our employees what they value most:
