The Opportunity:The Project Coordinator is primarily responsible to perform liaising functions, provide analysis and documentation on all project aspects. The Project Coordinator should be adept at developing rapport with the project team, taking the time to understand the team needs, business goals and project constraints to assist in project completion. The position will be required to fulfill Project Management (PM) duties for various projects which include but are not limited to analytical problem solving to address project roadblocks and the facilitation/coordination of meetings such as agile scrums and project working sessionsThe individual will place a high emphasis on project management as it relates to facilitating corporate projects. The individual would have an extremely high level of organization, time management, using assertive language to showcase the confidence to coordinate and manage a successful project. The individual will coordinate with a variety of internal and external stakeholders to deliver projects that align with the vision, meet customer needs, and are delivered in a consistently high-quality standard. Using a customer centric approach, the Project Coordinator will look to leverage Design thinking and Agile methodologies to assist in project management.Key Accountabilities:

• Project Coordination – 80%
  • Support the entire lifecycle of specific projects, ranging from strategic planning initiatives to tactical activities.
  • Develop, manage and control project schedules by updating and communicating timelines with the working team
  • Follow up on outstanding tasks, manage/mitigate risks in the project escalating issues if and when necessary
  • Facilitate agile scrums designed to identify project roadblocks, follow-up on these roadblock as manage with the team to remove them from the project critical path, leveraging various problem-solving techniques (5 Whys Analysis)
  • Leveraging ‘Stage-Gate’ approach to projects where applicable
  • Schedule meetings with internal groups and external vendors as needed
  • Facilitate successful meetings with confidence and assertive language, control the meeting.
  • Documents the minutes of the discussion, communicate in a timely manner. Follow up on actions for completeness prior to the next meeting.
  • Clearly define project problems, over-communicate task status within the project team
  • Develop mediums to communicate project progress throughout the organization, develop methods for two-way communication with the business/end users
  • Assist in establishing a Project Charter for the specified project, defining the projects goals, objectives, risks, assumptions, staffing levels, roles and responsibilities, work breakdown structure, milestones, and deliverables.
  • Document project requirements and scope, project resources, and monitor the efforts of project team members.
  • Efficient delivery of project deliverables, effective quality control, clear communication of expectations to stakeholders and upward reporting to senior management.
  • Conduct project postmortems in order to identify areas for improvement; make recommendations based on findings.
  • Closely monitor the efforts and billing of third-party workers, such as consultants, contractors, and other specialists.
  • Conduct cost-benefit analyses, risk analyses, and ROI calculations to determine project feasibility.
  • Promote and use the Software Requirement Specification (SRS) for relevant projects.
  • Perform other duties as required.
• Process Improvement & Implementation – 15%
  • Apply process improvement methodologies to process improvement initiatives.
  • Prepare process recommendation documents including presentations, process models, supporting metrics, business requirements and related impact analysis.
  • Assist in the implementation of new processes with necessary stakeholders. This may include but is not limited to documenting all new processes, creating measurable goals for success, training end users, acting as point of contact for troubleshooting and ongoing process management.
• Continuous innovation and skill development – 5%
  • Focuses on continuous skill development and learning in following areas:
    • Change management
    • Project management
    • Process Mining/ Process Mapping
    • Process Standardization
    • Six Sigma Practices
    • Performs other duties as required

What You Need To Be Successful In This Role:

• Bachelor’s Degree in Business, Economics or a related field required.
• 1 year of experience in project management and process development highly desired.
• Project Management Professional (PMP) and/or Disciplined Agile Scrum Certification may be advantageous
• Transportation experience / knowledge or a strong interest in network / capacity optimization may be beneficial.
• Advanced Microsoft Office skills, in-depth knowledge of Excel required.
• Advanced knowledge of Smartsheet highly desired
• Time management skills: ability to prioritize and comfortable handling competing priorities.
• Strong attention to detail.
• Able to present to leaders and collaborate with a variety of stakeholders and work effectively with multiple departments/ levels, while also working independently at times to solve problems with ambiguous solutions.
• Highly developed written and verbal communication skills, with the ability to prepare and deliver presentations
• Resilient and adaptable to change.
• Ability to apply critical thinking and problem solving.
