  • Supports a broad range of administrative duties and activities for the Vice President Enterprise Asset & Work Management (EAWM) and the EAWM Leadership Team.
  • Anticipates the needs of the EAWM Leadership Team to customize preferences and support team efficiency and effectiveness.
  • Manages the time of the VP independently and with significant discretion, refers calls and questions to other areas of the business as required.
  • Coordinates a diverse range of activities which involve significant interaction with senior executives and their support staffs/assistants.
  • Provides administrative support including handling frequent and complex travel, conference reservations, event planning, and calendar management.
  • Provides administrative support including arranging external business meetings and communication with vendors, business associates, and customers.
  • Maintains org charts, contact lists, e-mail distribution lists, headcount reconciliation reports, service award records and reconciles expense reports.
  • Coordinates, completes necessary research, delegates, compiles, and organizes work to support the VP and EAWM Team.
  • Prepares correspondence, documents, presentations, meeting minutes and other reports for use by executive management.
  • Assists in the preparation and maintenance of the annual budget, as requested.
  • Administers and maintains confidential and customer sensitive information ensuring adherence to all required confidentiality controls and measures.
  • Provides back-up support for other administrative assistants as needed.
  • Assist teams with other additional administrative responsibilities as needed.
Who you are:You have:
  • 2+ years’ experience as an Executive Assistant along with 5+ years of secretarial/administrative work experience and a High School Diploma or equivalent education
  • Excellent interpersonal skills with the ability to work with employees at all levels within and outside the organization in a highly professional manner while also being able to collaborate with an administrative assistant team
  • Strong prioritizing, organizing, and coordinating abilities to work effectively in a proactive and resourceful manner
You can:
  • Offer experience with presentation preparation and a demonstrated ability to create and manage materials at a senior level
  • Recognize and work with confidential information in a professional manner, including such areas as Human Resources matters and material company and financial matters
  • Network and use a variety of internal and external resources to get things done in a fast paced and demanding work environment
You are:
  • An outstanding written and verbal communicator with excellent grammar, spelling, punctuation, and proofreading skills
  • Proficient with the Microsoft Office Suite to include Outlook, Word, Excel, Power Point, SharePoint, and cloud-based applications
  • Able to work independently with minimal supervision and balance multiple tasks using efficient time management skills
Working Conditions:
  • Work performed in typical office environment
  • Occasional travel may be required to support team functions (5-10%)
  • Available outside normal work hours/weekends to support and accommodate VP as needed
