Job Description

ProVision Collision is opening its doors to Chatham-Kent and we could not be more excited! Our autobody collision shop is fully equipped with state-of-the-art equipment, using the best products on the market that are environmentally safe and doing so in certified techniques to restore vehicles back to their original state, making the vehicles safe for our customers and their families. Would you like to become part of our team and grow with usWe are looking for an office administrator who will overlook office operations, assist customer issues and needs, plus inventory and order management. You will be the point of reference for requests or issues and will be an integral part of the company’s team. You are the front-line contact, the face of the company and responsible for a positive client experience.Responsibilities

  • Monitor daily reports regarding the process and completion of vehicle repairs and notify customers as needed
  • Prepare final billing for completed orders
  • Develop and maintain a filing system
  • Maintain/Update inventory records and report any inventory discrepancies
  • Order required parts and pay vendor invoices
  • Establish good relations with customers and insurance adjustors
  • Answering telephone inquiries and queries of customers, identifying the customers’ needs to relay to the appropriate team member
  • Keeping all policies/procedures compliant/work in health and safety environment
  • Gathers all required information to pass along to estimator
  • Collects all necessary payments
  • Manage the daily/weekly/monthly agenda and arrange new estimates/appointments
  • Submitting reports to insurance companies
Skills
  • Proven work experience as a secretary or administrative
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time/schedule management capability
  • Proficiency in Microsoft Office, Excel and QuickBooks (required)
  • Must have an enthusiastic and outgoing personality
  • Honest, courteous and able to demonstrate strong work ethics
  • WHIMIS certificate (willing to obtain)
  • Experience in the autobody trade/knowledge of Mitchell program would be an asset
