The Municipality of Chatham-Kent has an opening for a temporary full-time Project Assistant, Local Immigration Partnership Program in the Community Attraction and Promotion division. This temporary full-time opportunity is for a period up to March 2023.Job description:The Project Assistant, LIP, works alongside the Project Coordinator, LIP, as part of the municipal Community Attraction and Promotion team to actively engage the community and key stakeholders on issues related to immigration and immigrant settlement. The Local Immigration Partnership Project is funded by Immigration, Refugees, and Citizenship Canada through a Contribution Agreement with the Municipality of Chatham-KentEssential responsibilities:Demonstrate Chatham-Kent’s core values and competenciesAssist with ensuring the completion of activities related to the objectives of the project which include:Enhanced awareness of the LIP in Chatham-KentEngagement of a diversity of members involved in the settlement and integration of newcomersIncreased capacity to support the integration of newcomersAssist Project Coordinator with CK LIP Council members and a range of community stakeholders to review and update CK’s local settlement strategy and to set/refine the community visionAssist with the development of action plans to implement the CKLIP vision/strategy that includes sustainable and collaborative local solutionsAssist with the coordination of Partnership Council and stakeholder meetings, assisting in the development of an action plan for the project, tracking action plan activities and outcomes, and assisting in the coordination and liaison with project stakeholdersAssist in the preparation of monthly reports, budgets, claims, and LIP communications, while being the lead on the maintenance of accurate records and filesResearch and compile monthly email newsletter, administer and grow subscriber listMaintain project webpages on Municipal portal and project Social Media presenceWork with LIP Project Coordinator, LIP Partnership Council Chair and members to coordinate Partnership Council meetings, agendas, presentations, meeting minutes and follow up action itemsAssist in preparation of the monthly and annual program reports and claims for the funding agency, the CAP division and various stakeholdersAssist in the preparation of reports, budgets, claims, and LIP communications, while being the lead on the maintenance of accurate records and filesAssist in preparation of quarterly and annual reconciliation of project budget vs financial claims and cash flow updates for the funding agencyReceive and code invoices, purchase orders, account receivables and payroll related documentsParticipate in project financial review meeting with the concerned Municipal departmentGeneral office duties as requiredAct as an ambassador for Chatham-KentEssential qualifications:College diploma or university degree (preferably in a social science, public affairs, project management, economics or a related program), with six (6) months to two (2) years of related experienceExperience related to immigration and the preparation of strategy and implementation plansExperience in marketing and promotion (i.e. producing promotional materials, writing reports and media releases) requiredExperience with setting up meetings including: sending out/tracking invitations; booking rooms/facilities; preparing agendas/correspondence; recording and transcribing minutesExperience working with stakeholders and community groupsExperience with local settlement strategies and community level strategic planningExperience with general office duties (reception, researching information, customer service, multi-tasking)Budget experienceKnowledge of basic accounting/accounts payable & receivable processes and petty cashStrong interpersonal and communication skills, written and verbalExcellent time management and organizational skillsExperience with social media platformsWorking knowledge of JD Edwards (or other similar financial program)Strong computer skills, specifically Microsoft Office (Word, Excel, PowerPoint, Outlook) (or similar software program)Work environment/hours of work:This position works weekday hours as well as occasional evenings and weekendsMunicipality of Chatham-Kent COVID-19 Vaccination PolicyThe Municipality of Chatham-Kent has a mandatory COVID-19 vaccination policy.
