Like us on Facebook(@fraserhealthcareers), follow us on Twitter & Instagram(@FHCareer), or connect with us on LinkedIn (fraserhealthcareers) for first-hand employee insights!Detailed Overview: Performs a variety of secretarial/clerical duties such as drafting correspondence, maintaining files, staff records, work schedules, timekeeping functions, records for supply and equipment inventories, organizing and maintaining the department library, arranging and confirming appointments and meetings, attending meetings and transcribing and distributing minutes; receiving and directing visitors; answering the telephone and typing technical and non-technical material. Responsibilities:

  • Performs secretarial duties for the Manager such as drafting routine correspondence and memos, processing incoming and outgoing materials, and maintaining department filing system.
  • Maintains records of staff such as names, addresses, phone numbers, availability for work and suitable work area.
  • Calls in and allocates relief staff to fill temporary staffing requirements.
  • Maintains work schedules, payroll books and timekeeping records for staff and submits to payroll.
  • Maintains records such as supply and equipment inventories, and departmental operating statistics including scheduled maintenance, time sheets, energy consumption, maintenance logs, weather reports, etc.
  • Organizes and maintains department documentation such as manuals, code books, drawings, etc. and other relevant department materials.
  • Arranges and confirms appointments and arranges meetings. Attends meetings and records, transcribes and distributes minutes.
  • Receives and processes requests such as vacation, leave of absence and terminations by preparing appropriate documentation, making necessary calculations such as seniority and vacation entitlements and forwarding to the Manager for approval.
  • Receives visitors, provides information and directs to appropriate persons or areas.
  • Answers telephones, transfers calls, takes messages or answers routine inquiries.
  • Types technical and non-technical material such as correspondence, reports, lists and forms from written drafts, revisions or dictating machines.
  • Performs other related duties as assigned.
Qualifications: Education and ExperienceGrade 12 and two years recent related experience or an equivalent combination of education, training and experience.Skills and Abilities
  • Ability to keyboard at 45 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to organize work.
  • Ability to operate related equipment.
