Job Description

An exciting opportunity exists within the Continuing Education Department for a District Secretary VI (temporary position). As the third largest school district in B.C. and located in the Tri-Cities of Metro Vancouver, the school district has a population of 32,000 students with approximately 4,300 teaching, administrative, managerial and support staff.The Continuing Education department provides adult education opportunities in academic upgrading and graduation completion, English language instruction, business, careers, and job skills programs and much more. For more information on the Coquitlam Education Program please view the School District’s website at www.ce43.comThe District Secretary VI reports to an administrative official/manager/supervisor in the Continuing Education Department and performs secretarial and clerical duties of a confidential and non-confidential nature and supervises Continuing Education clerical support staff.Duties include:

  • Supervising, training, assigning, monitoring the work of clerical staff in the department.
  • Composing correspondence and memo.
  • Organizing, preparing, processing, and maintaining a variety of records, such as minutes of meetings, reports, registrations, contracts, agreements, specifications, budget documents, departmental forms, financial statements, ministry/school board policies and procedures, scholarships, and other related materials.
  • Coordination of appointments, meetings, workshops, and retreats, including agendas, materials, and facilities.
  • Assisting with the preparation of the annual budget.
  • Organizing and coordinating the school districts transportation needs,
The successful applicant will possess:
  • Grade 12 including courses in business education and related computer software or an equivalent combination of training and experience.
  • On year of previous experience in a clerical position.
  • Typing speed 50 WPM (typing test required)
  • Supervisory skills
  • A valid class 5 B.C Driver’s License and business use of personal vehicle is required.
  • Knowledge of principles and practices of double entry bookkeeping and standard accounting practices required (testing required)

This is a unionized temporary position which offers $28.63 per hour plus 16% in lieu of benefits. 35 hours a week – Monday to Friday.
