Job Description

GFR Pharma is a privately held manufacturer of natural health products. As a proudly Canadian company located in Coquitlam B.C., we are committed to manufacturing high-quality supplements for our customers. Currently we are seeking to hire an experienced and versatile Executive Assistant supporting both our Founder and Chairman of the Board and our CEO.You will be the right hand to the Chairman of the Board for corporate and personal business functions as well as supporting our CEO with high-level administrative tasks. Being someone who gets things done and who is always two steps ahead of the people you support, you have built a reputation for being the go-to person when something needs doing—if you dont know the answer, you know how to find it.You will manage a calendar that is constantly changing, arrange high profile meetings, make travel arrangements, and ensure that the Executive is prepared with all necessary meeting materials and information for the day ahead. The ideal candidate will have an entrepreneurial spirit with strong technological aptitude.Your responsibilities will include…

  • Administrative tasks, calendar management and email management including composing correspondence on behalf of the Chairman.
  • Work closely and effectively with the CEO to keep the leadership team well informed of upcoming commitments and responsibilities.
  • Complete a variety of administrative tasks for the CEO.
  • Communicate directly, on behalf of the Chairman to internal and external customers.
  • Manage and reconcile the Chairman’s monthly expenses.
  • Compilation of Board Packages and Various Reports for the CEO.
  • Make travel arrangements.
  • Prepare and distribute various meeting minutes, agendas and materials for the CEO.
  • Follow up on meeting action items.
  • Arrange and organize some of the Founders personal functions such as banking, business meetings and project coordination.
  • Assist with special initiatives, corporate events and projects as required.
To be successful in this role you will….
  • Have 5+ years’ experience or equivalent in a senior administrative or executive support level capacity with increasing responsibilities in a highly sensitive and confidential role.
  • Be highly skilled in organization with the ability to be flexible when needed.
  • Have exceptional communication skills, both verbally and written. You possess excellent problem-solving skills and have a strong work ethic that thrives in this fast-paced environment.
  • Excellent business acumen and ability to exercise tact, sound judgment and prioritization.
  • Show a high level of commitment to deadlines.
  • Advanced-level Microsoft Outlook, Word, Excel and PowerPoint proficiency. Familiarity with MS Teams, Zoom and other business applications focused on efficiency and communication. SAP experience would be an asset.
  • Experience working with trademarks, legal agreements and accounting principles will be considered an asset.
  • Be bondable and comfortable with a comprehensive background check.
This role is best suited to someone who likes an early start.
