Position OverviewThis position will support our payroll team with analysis of time entry through the company ERP (Dynamics), tracking of absences, and preparation for hours & earnings to be submitted to payroll. As a NEW position, added to our growing company, we are searching for someone with strong excel skills (you love pivot tables and v-lookups), strong attention to detail, organization and a can-do attitude on getting the job done. We are open to making this a part-time or full-time role, depending on the candidate’s experience and skill set.A Typical DayPart-Time OptionA typical day includes reviewing hours entered into Dynamics and follow up for missing time and corrections. You will maintain trackers, communicate with departments and individuals on missing information and answer employee and supervisor inquiries as it relates to time entry. You will spend the bulk of your time working in excel, UKG and Dynamics. You must be comfortable learning and navigating these proficiently.Full-Time OptionThe above, plus taking on additional responsibilities in benefits. This includes updating employee information during pay weeks, communicating with employees on benefit questions and completing additional administrative duties within payroll and benefits.Detailed Duties & Responsibilities
  • Pull approved time entries and time off requests reports from Dynamics weekly
  • Combine approved time entries into excel using pivot tables
  • Complete payroll tracker to confirm all days are accounted for. Follow up with departments for missing data to ensure it’s captured the following week.
  • Follow up with departments for any special premiums.
  • Ensure approved time off requests reports have all the correct codes, employees are entitled to paid time and document in excel. Add pertinent info for import and forward to payroll.
  • Review information entered in Dynamics is accurate via the master excel spreadsheet and make changes as required:
    • Time entry types correct
    • Duplicate entries
    • Breaks deducted
    • Call outs accurate
    • Correct application of payroll rules
QualificationsEducation and Experience
  • Understanding of payroll timelines, practices and employment laws as they relate to pay
  • Experience with Dynamics is considered an asset
  • Experience with UKG is considered an asset
  • Intermediate to advanced use of excel is required
Knowledge, Skills and Abilities
  • Working knowledge of Provincial Employment Standards
  • Ability to manage confidential information
  • Strong attention to detail, and follow through
  • Ability to communicate professionally and efficiently
Working Conditions
  • Monday – Friday, day-time hours with flexible start/end times
  • Must be available to work within payroll deadlines and time constraints (e.g., Mondays of pay week/short payroll weeks)
  • This position may be accommodated in office, at home or hybrid. Training will take place within our Coquitlam office to start.
