Job Description

Note: This is NOT a remote position. All Candidates must be qualified and permitted to work in Canada.This position is responsible for the planning and coordination of the Vanwest College programs, including ESL and VCP courses. The candidate will provide leadership for the quality assurance process related to the development, maintenance, implementation, and delivery of VanWest College programs and curriculum.To be successful in this role, the candidate will have a passion for education and student success and will inspire professionalism and cordiality when working with others.Timings:Work hours are in the morning and will be regular. Exact hours will be decided upon by the chosen candidate and the College. However, some occasional evening hours and travel may be required.Wage: $24/hour - Full Time - (35 hours a week)Start date: Immediate (September/October 2024)Required Skills and competencies:

  • Undergraduate Degree (Bachelors) + Proof of adequate English proficiency (B2+, IELTS 7, or equivalent)
  • Administrative Skills including computer literacy, correspondence, time management, data entry, scheduling
  • Excellent communication skills and correspondence.
  • Proven experience in coordination or a relevant position, ideally within the educational sector.
  • ESL/TESL background is an advantage.
  • Knowledge of program management and development procedures.
  • Strong Google and Microsoft Proficiency, with knowledge of technological enhancements and data entry.
Critical thinking, enthusiasm, organization, attention to detail, clear spoken and written communication, social skills, problem-solving, comfortable working with diverse and multi-disciplinary teams.Responsibilities (But not limited to)
  • Hiring and supervision of Academic Staff with guidance from the Academic or Operations director.
  • Managing Payroll for Academic staff including College contractors.
  • Scheduling and coordination of Vanwest Programs based on student numbers and other operational needs with the guidance of the Academic director and the Operations Director.
  • Emailing and coordinating with staff members and instructors/teachers with any updates and information.
  • Managing files and documents in an organized and accessible manner.
  • Developing systems to enhance administrative workflows for the department.
  • Scheduling meetings, and events for the department.
  • Tracking attendance issues for students with a reporting system.
  • Monitoring and alerting concerned departments about student academic progress.
  • Ordering textbooks and managing academic inventory.
  • Alerting/Coordinating with front desk and operations team about Subbing arrangements in advance
  • Coordination with Student Advisors about routine issues.
  • Managing and maintaining the Academic information for Students
  • Correspondence with students with regard to program/schedule changes and any valuable information.
  • Any other reasonable department-related tasks needed by the College management.
