Achieve your ambitions-join us at JLL!POSITION OVERVIEWJLL is currently seeking a dynamic and qualified individual for the role of Receptionist to provide reliable, timely, and efficient support to our Edmonton office. The position entails working with a diverse group of internal and external Stakeholders at all levels of the organization. The individual will require the independent judgment to plan, prioritize, and organize a diverse workload. This role provides a wide variety of support services to the downtown Edmonton office and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.RESPONSIBILITIESReception duties:

  • Greet clients and guests upon entering the office and notify JLL employees accordingly.
  • Answer phones and direct calls to the appropriate person.
  • Schedule internalamp; external meeting rooms and appointments for internalamp; external clients.
  • Coordinate and organize meetings, conference calls, video conferences, and net meetings and their related materials as required.
  • Maintain the copy and mail rooms accordingly, ensuring office equipment (e.g. photocopiers, postage, etc.) is operational and appropriate inventory is in stock.
  • Maintain the kitchen, lobby and common areas and ensure all amenities are maintained and appliances are in working order.
  • Order business cards, stationeryamp; office supplies and manage inventory.
  • Manage all mail and couriers, including but not limited to preparing courier packages, coordinating pick-up and delivery, confirming delivery/receipt with appropriate stakeholders, and resolving any related issues in a timely manner.
  • Liaise with building management on maintenance issues.
  • Point of contact for all local vendors working with vendors on invoicing and account management.
  • Process invoices through the AP system, follow up on o/s invoices and payment resolution.
  • Work with IT and HR to assist with onboarding of new hires. Assigning and setting up desk location, setting up handset, monitors etc. required IT.
  • Order IT for new hires and JLL employees as required.
  • Submit all cheques into the National Cheque Log.
  • Responsible for office tours, security clearance, access cards, welcome letters, info packages, business cards.
  • Review cost and track office supplies and vendor stock, order as needed. i.e. Grandamp; Toy, South West Binding, FedEx, Pitney Bowes, Xerox, Artcraft, etc.
  • Updating company #39;s email distribution lists. Keeping local internal contact lists up to date for circulation.
  • Building Healthamp; Safety and Fire Safetyamp; Fire Warden. Attend required meetings to keep up to date on safety protocol.
  • Perform clerical or administrative duties as needed, such as: assisting with filing and database systems, attendance records and other related office support duties.
QUALIFICATIONS
  • Post-Secondary education is an asset.
  • 3+ years of relevant experience or a combination of education and experience.
  • Experience in the real estate sector is an asset.
  • Demonstrated proficiency with all applicable software packages including but not limited to MS Windows and MS Office, including MS Word, Excel, Outlook, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent time management and organizational skills.
  • Must be able to adapt and prioritize, meeting deadlines, in a fast-paced environment.
  • Must operate with a sense of urgency, quickly responding to Stakeholders.
  • Must have a positive, professional attitude.
  • Must be detail oriented.
  • Must demonstrate professionalism always.
  • Must be able to work well independently with an ability to work collaboratively with others.
  • Must be able to maintain confidentiality, utilize judgment, and work with minimal supervision.
