Job Description

(this is an onsite opportunity based in downtown Toronto)Our client is a boutique law firm working with clients in some of the most exciting industries. They specialize in law across Intellectual Property, Corporate Law, Franchising Law and Litigation in technology, artificial intelligence, software, biotechnology, and more industries! They also work with companies big and small; established and some of the hottest startups!

  • Manage and organize the founding partner #39;s phone, schedule, and email correspondence.
  • Maintain and update the firm’s CRM system with contact and client details.
  • Coordinate travel arrangements, including flights, hotels, and transportation.
  • Schedule appointments, meetings, and conference calls.
  • Organize and file documents and correspondence efficiently.
  • Collect, organize, and scan receipts for reimbursement or record-keeping purposes.
  • Assist in planning and executing firm events (seminars, workshops, client gatherings, etc.) in collaboration with the marketing team.
  • Coordinate invitations and manage RSVPs using email campaigns and CRM.
  • Provide on-site event support, ensuring smooth event flow and attendee satisfaction.
Requirements
  • Strong organizational and multitasking abilities with obsessive attention to detail.
  • High level of integrity, discretion, and trust in handling confidential information.
  • Excellent communication and interpersonal skills for engaging with internal and external stakeholders.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to quickly learn new software systems.
  • Proven ability to manage multiple tasks and switch priorities efficiently.
  • Flexibility to work outside standard hours during events or urgent matters.
  • Experience in event planning, logistics, and vendor coordination is a plus.
