Job Description

Administrative AssistantPsychiatry & Intensive Services ProgramsRegular Full-Time PositionAnnual Salary Range: $43,092.71 - $47,142.81The George Hull Centre is a leading Children’s Mental Health Centre providing a full continuum of services to children birth to 18 and their families in Etobicoke.The Centre is currently seeking a highly organized person with initiative and attention to detail to fill the position of Administrative Assistant, Psychiatry & Intensive Treatment Services. The Assistant will be responsible for performing a significant variety of multi-faceted assignments, both administrative and coordination in nature. The successful candidate will be joining a growing team, dedicated to fostering organizational excellence and support for the Centre’s vital services to children and families.Our goal is to attract, develop, and retain a highly talented team from diverse backgrounds, allowing us to benefit from a wide variety of experiences and perspectives. Applicants from equity-seeking groups who identify with racialized communities in Toronto as well as other diverse backgrounds are encouraged to apply for this opportunity.Reports to: Psychiatrist-In-Chief and the Director of Intensive Treatment ServicesDuties include but are not limited to the following:

  • Administrative support to the Psychiatrist-In-Chief and the Director of Intensive Treatment Services including assisting with meeting coordination, correspondence, prioritizing tasks and dealing with highly confidential information.
  • Administrative project support to the Managers of the Intensive Treatment Services, including communication with teams, updating of monthly reports and meeting coordination and support.
  • Conducting the initial telephone interview with prospective clients or parents. This interview includes demographic information, a brief history of the problem, a history of previous clinical contacts and information about client needs.
  • General administrative support to the departments as needed, including booking appointments/interviews, data entry, setting up surveys, obtaining consents, obtaining data exports, data verification, monitoring of data compliance, event organization.
  • General clerical and administrative functions including photocopying, shipping packages, booking meetings/organizing AV equipment and materials, monitoring and ordering of supplies, preparing agendas, minutes, presentations.
  • Developing, editing and formatting department documents (e.g. annual reports, correspondence, presentations, etc.).
  • Assisting with the creation and maintenance of systems and protocols to ensure the smooth operation of the Psychiatry department and the Intensive Treatment Services Department.
  • Travel to other George Hull Centre sites to provide program support.
  • Participate as an active and contributing member of the Administrative Team.
Required Qualifications:
  • Expertise in Microsoft Office (including Word, Excel, Power Point)
  • Experience in virtual meeting coordination and management (Zoom, Teams)
  • Minimum of 4 years of office experience supporting multiple leaders
  • Proficient in administrative practices
  • High attention to detail
  • Independent and self-directed with strong collaboration skills
  • Superior skills in written and oral communication, problem-solving
Knowledge of the mental health sector is preferred.Hours of Work:
  • 36.25 hours per week; ability to work flexible hours on occasion.
Working environment:
  • This is a hybrid working model, working on-site on some days and from home.
  • Occasional travel between sites my be required.
