Our mission is to improve the wellbeing of Canadians.Job Title: Facilities CoordinatorDepartment: FacilitiesCompetition: 85029Internal/External: Internal/ExternalEmployment Type: Full Time, PermanentLocation: EtobicokeSalary: Comprehensive CompensationReports To: Facilities ManagerThe Facilities Coordinator is the face of our facilities team, both for outside vendors and internal leadership. This position is the first point of contact for location specific problem solving and the "go to" for leaders and employees. This position is on point for coordinating, modifying and/or supervising installations for a variety of facilities projects, including workstation installation or telephone requests.Responsibilities:

  • Installs, co-ordinates, monitors, and oversees the daily office services administration regarding workstation modifications, temporary work area requirements, telephony installations, and security card access. All requests must be processed in accordance with the Medavie Blue Cross corporate guidelines
  • Co-ordinates working drawings/ floor plans, estimates and project phase implementation plans with an office designer, engineer, architect, contractors and/ or building management
  • Liaises with leaders regarding inquiries and responding to problems related to office services support
  • Co-ordinates shredding schedules and prepares private business health and dental claims destruction schedules as outlined in the Medavie Blue Cross business rules and auditor instructions
  • Creates and maintains departmental records, statistics, invoices and reference documents
  • Manages photocopiers servicing, toner replenishment, servicing and problem solving investigation
  • All duties will require additional non-standard work hours, including evenings and/ or weekends
Qualifications:
  • High school diploma, post secondary education considered an asset
  • Minimum of 2 years of facility related experience. Modular furniture experience considered an asset (Teknion, Haworth, Steelcase, Tayco and Lacasse furniture systems)
  • Superior time management and multi-tasking skills
  • Good analytical, organizational and priortization skills
  • Good problem solving master, understand customer needs and can quickly get to the best possible solution
  • Good communication - face to face and through e-mail and phone with a clear, concise and friendly approach
  • Ability to handle fluctuating volumes and adept at working both in a team environment and independently
  • Ability to lift items up to 25 kg
  • Proficient computer skills (fluent with MS Office Suite programs (Outlook, Word and Excel)
  • Valid drivers license required
  • Bilingualism (English and French) is considered an asset but not required
  • Must be in office 4 days a week
